Job Summary The Scanning/Digitization Intern assists the administrative or records management team in digitizing paper files, maintaining digital organization systems, and ensuring quality control for electronic records. This entry-level role suits students or individuals seeking experience in office administration, archives, or information governance.
Key Responsibilities Document Preparation:
Sort physical files, remove staples and paper clips, and organize documents into batches before scanning.
Scanning & Digitizing:
Operate high-volume production scanners and imaging software to convert hard copies into digital files.
Indexing & Metadata Entry:
Label digital files using standard file-naming conventions, enter metadata, and sort documents into centralized electronic folders.
Quality Assurance:
Review scanned images for clarity, legibility, and completeness, re-scanning pages as needed.
Equipment Maintenance:
Perform basic cleaning and routine troubleshooting on office scanners and imaging hardware.
Records Retention:
Assist with secure file disposal, shredding preparation, or archiving according to company retention policies.
