Overview Join our dynamic municipal team as a City Clerk, a vital role dedicated to ensuring the efficient management of city records, compliance with regulatory standards, and the facilitation of transparent governance. As a City Clerk, you will serve as the custodian of official documents, oversee record retention policies, and support administrative functions that uphold the integrity and accessibility of government information. This position offers an exciting opportunity to contribute to civic transparency, organizational excellence, and community engagement through meticulous records management and compliance oversight. Duties Manage and maintain all city records using advanced document management systems, ensuring accuracy, security, and easy retrieval. Oversee the classification of records through effective metadata application and taxonomy development to support efficient information governance. Ensure compliance with all records retention schedules and regulatory requirements related to government records management. Coordinate archival processing in accordance with archival standards and facilitate digitization efforts for physical records to improve access and preservation. Implement and monitor information security protocols to protect sensitive data in accordance with best practices and legal standards. Prepare, proofread, and review official documents, reports, minutes, and legal filings for accuracy and compliance. Utilize content management systems such as SharePoint or iManage to organize, store, and share information across departments efficiently. Support the development of policies related to records retention for compliance management and information governance initiatives. Conduct regular audits of records management practices to ensure adherence to record management regulation compliance. Collaborate with other departments on electronic records management projects, including system upgrades or integrations involving document management or archives management. Requirements Proven experience in administrative roles with a strong background in records management or government administration. Proficiency in document management systems (such as iManage or SharePoint), record retention software, and content management systems. Extensive knowledge of metadata, taxonomy development, archival processing standards, and digitization techniques. Familiarity with regulatory compliance management related to government records regulation and information security protocols. Strong organizational skills with exceptional attention to detail for proofreading, data management, and filing processes. Ability to manage physical records while transitioning seamlessly into electronic records management environments. Excellent communication skills for preparing reports, official correspondence, and coordinating with internal teams or external agencies.
