Job Description

Job Summary Come and join a well-established and progressive Auto Repair Shop in Hastings. Pat's Auto Repair is a family-owned business that has had continuing business since 1983. We handle Auto Repairs, Tire Services, and Towing Services and due to company growth potential, we are in need of an experienced Office Assistant/ Bookkeeper. Working for a small and conscious family business will allow the team to have the flexibility of working hard, being efficient, and maintaining a positive life balance. Scope of Work The Bookkeeper is responsible for managing the day-to-day administrative, financial, and customer service operations. This position ensures that customer invoices, payments, vendor accounts, payroll coordination, bookkeeping and office procedures are handled accurately and efficiently. This position is also responsible for timely and accurate reporting of all Financial Statements for Pat's Auto Repair & Towing LLC, which involves: a) The transfer of data from the company field software, Tec-Metric, Expenses and bills, data entry, Management of AR and AP, collections, payments, reconciliations and presentation of Cash Management. Though the shop owner assumes the responsibility of spearheading all tax commitments and relations with the company CPA, the Bookkeeper will be expected to support her and follow through with corresponding assignments as determined. The Bookkeeper will also be expected to play a supportive role to the Service Advisor and the Towing Dispatcher and will support all office activity as necessary. Responsibilities
  • Maintain accurate daily bookkeeping records using QuickBooks
  • Record and reconcile daily sales, credit card transactions, cash, and other payments
  • Enter vendor bills, purchase invoices, and accounts payable
  • Monitor accounts receivable and follow up on outstanding customer balances
  • Reconcile bank accounts and credit card accounts
  • Maintain accurate records of parts, tires, and other inventory-related purchases
  • Ensure repair orders, invoices, and payments are properly recorded
  • Assist with monthly financial statements, including profit and loss and balance sheet reports
  • Follow through with the End of the Month Checklist and review with the shop owner
  • Provide the owner with the financial information needed to monitor the shop's performance
  • Assist with sales tax reporting and other accounting requirements in coordination with the accountant.
  • Verify vendor invoices against purchases and received parts
  • Schedule vendor payments according to agreed payment terms and cash flow
  • Maintain vendor account records and resolve billing discrepancies
  • Track outstanding bills and upcoming payment obligations
  • Assist with establishing and maintaining vendor relationships
  • Process customer payments by credit card, cash, check and other approved methods
  • Review unpaid repair orders and outstanding customer balances
  • Monitor client payment plans and assure that they are adhered to
  • Ensure that all completed repair orders are invoiced and properly closed
  • Handle customer billing questions and payment discrepancies
  • Monitor warranty, fleet, or commercial customer accounts
  • Answer incoming phone calls and assist customers who have questions
  • Support the Service Advisor in scheduling appointments
  • Support in customer coordination when applicable
  • Maintain organized customer, vendor, employee and financial records
  • Manage office supplies and administrative purchasing
  • Coordinate with the Service Advisor to ensure repair orders are complete and accurate
  • Maintain confidentiality of customer, employee and company financial information
  • Develop and maintain office procedures to improve accuracy and efficiency
Qualifications:
The ideal candidate is organized, dependable, detail-oriented, and comfortable working in a busy automotive repair environment. The position works closely with the shop owner, technicians, service advisors, and vendors to maintain accurate financial records and support profitable shop operations. The candidate must have a basic knowledge of QuickBooks The candidate must have a basic knowledge of Excel and Word Knowledge of inventory accounting and cost of goods sold Experience preparing management reports and supporting business owners Familiarity with automotive shop management software - preferably
Tec-Metric Pay:
From $19.00 per hour Expected hours: 40.0 per week
