The Brokerage Administrator and Transaction Coordinator is the client-facing and operational support for the Colliers | Northwest Arkansas brokerage team. This person is trusted by clients, brokers, title companies, attorneys and cooperating brokers alike to represent the team professionally, keep every transaction moving with precision, and use technology to make the team faster and sharper. This is not a personal assistant role to a single broker. It is a high-visibility and high-trust position at the center of a high-producing commercial real estate team, suited to a polished, service-minded professional who wants real ownership within how the brokerage team runs.
CLIENT & BROKER SERVICES
Serve as a professional point of contact for clients on listed and managed properties — fielding questions, providing status updates, and reflecting the team's standard of "Client First" service
Assist clients with property-related questions and site or market inquiries, property listing management and market research (Using Costar and other databases)
Support proposals, marketing packages, tour binders, and closing books that go directly in front of clients and prospects
Coordinate broker calendars and priorities to keep brokers focused on clients and the market
Assist with creating the various deal-related documents for Brokers such as Letters of Intent, RFPs, Leases, Purchase Contracts and Listing Agreements
Help brokers prepare client reports on their properties
TRANSACTION COORDINATION
Track every active deal against its critical dates — due diligence, financing contingency, closing — and produce status reports
Follow up directly with title companies, attorneys, lenders, appraisers, and municipal contacts to keep deals on schedule at broker's direction
Draft and prepare Listing Agreements, LOIs, Offers, Counteroffers, Amendments, and commission invoices for broker review
Review contracts and amendments for accuracy before signature and flag non-standard terms for broker or attorney review
Coordinate closing logistics and manage post-closing file organization
DEAL & SYSTEMS MANAGEMENT
Maintain accurate deal-tracking entries — deal stage, dollar figures, critical dates, and contacts — for all brokers
Keep the comp database current with verified closed-deal terms
Assist in maintaining listing databases and dashboards for property listings including Costar, Loopnet, MLS, Crexi, etc.
TECHNOLOGY & PROCESS IMPROVEMENT
Use AI tools (Claude, ChatGPT) daily to accelerate deal prep, research, and client deliverables
Identify and pilot new technology to remove manual steps from the team's workflow
WHAT WE'RE LOOKING FOR
2+ years of experience in commercial real estate, transaction coordination, title/escrow, or paralegal work, ideally with direct client contact
A polished, confident communicator comfortable representing the team to clients, attorneys, and other brokers
Sharp organizational instincts and the judgment to prioritize across multiple brokers and deals with limited hand-holding
Genuine comfort with AI tools and a willingness to keep learning new platforms as they emerge
Proficiency in CoStar, DocuSign, and Microsoft Suite; familiarity with Monday.com, Smartsheet, or similar tools a plus
A proactive, ownership mindset — someone who spots a gap and closes it rather than waiting to be told
Interest and willingness to obtain an Arkansas real estate license
