Job Description

Payroll Coordinator The Payroll Coordinator is a self-directed, collaborative, customer-service-oriented, and adaptable professional who supports payroll processing activities within a complex, multi-state, multi-entity service organization. This position supports daily payroll operations as well as monthly, quarterly, and annual payroll compliance activities. The Payroll Coordinator must be comfortable working in a fast-paced environment with frequent interruptions and interactions with a wide variety of internal and external stakeholders. The successful candidate will demonstrate strong attention to detail, critical-thinking skills, sound judgment, and the ability to prioritize competing demands while maintaining accuracy and meeting compliance deadlines.
General Responsibilities:
The Payroll Coordinator reports directly to the Payroll Manager or as otherwise assigned. Description and Functions Position Summary The Payroll Coordinator will assist with a variety of payroll functions, including garnishments, child support orders, payroll deposit troubleshooting, new-hire reporting, unemployment claims, pay card support, payroll data entry, W-2 inquiries, and internal payroll processing. The position will also provide support to LaborMax branch staff and Field Team Members (FTMs) by researching and resolving payroll-related questions and assisting with payroll system and pay-item issues. Duties & Responsibilities Responsibilities include, but are not limited to: Enter payroll and employee information into the payroll processing systems, ensuring information is timely, accurate, complete, and properly routed to the appropriate internal or external parties. Research and respond to payroll-related questions from Field Team Members and internal employees while providing professional and effective customer service, including the ability to de-escalate challenging situations. Administer garnishment and child support processes, including: Processing orders and responses. Maintaining required documentation. Coordinating payments. Completing required reporting. Monitoring deadlines and compliance requirements. Assist with the automation and optimization of LaborMax's garnishment processes while maintaining compliance throughout implementation and ongoing operations. Administer and maintain unemployment claims, including claim responses, research, documentation, and appeal support. Complete timely new-hire reporting to the appropriate state agencies. Assist with LaborMax's pay card program, including: Troubleshooting account creation issues. Researching Field Team Member deposit inquiries. Assisting with pay card inventory at branch locations. Serve as a resource to LaborMax branches regarding payroll pay items and best practices while maintaining data integrity within MaxPro. Assist branches and Field Team Members with historical and current W-2 inquiries. Work collaboratively with Human Resources to ensure timely communication and processing related to: New hires. Terminations. Benefits and other deductions. Employee documentation. Assist with reviewing and proofing employee documentation to ensure accuracy and completeness. Assist with processing internal multi-state payroll for LaborMax employees, ensuring: Accurate hours. Appropriate pay rates. Correct payroll deductions. Proper federal, state, and local taxation. Accurate processing for new hires, current employees, and terminated employees. Identify and raise concerns when payroll information, documentation, or processes do not meet established expectations or requirements. Maintain confidentiality of employee and payroll information. Assist with payroll research, reconciliations, audits, special projects, and process improvements as assigned. Perform other duties and responsibilities as assigned by the Payroll Manager. Required Skills & Abilities Strong attention to detail and commitment to accuracy. Excellent organizational and time-management skills. Strong analytical and mathematical skills. Ability to identify discrepancies, investigate problems, and determine appropriate solutions. Strong written and verbal communication skills. Excellent customer-service skills, including the ability to professionally handle and de-escalate tense or sensitive situations. Proficiency with Microsoft Excel, including formulas, functions, sorting, filtering, and working with large amounts of data. Comfortable learning and utilizing new technology and software applications. Ability to work effectively with payroll systems and other technology platforms. Self-motivated and capable of working independently with limited supervision. Strong critical-thinking and problem-solving skills. Ability to prioritize competing requests and deadlines while maintaining accuracy. Demonstrated sense of urgency when addressing payroll and compliance-related matters. Ability to recognize when an issue requires escalation to management. Ability to maintain confidentiality when handling sensitive employee, payroll, and financial information. Ability to work collaboratively with Payroll, Human Resources, branch staff, management, and external agencies. Willingness to occasionally work evenings, weekends, or holidays when necessary to meet payroll or compliance deadlines. Education & Experience Associate or Bachelor's degree in Accounting, Finance, Business, Human Resources, Payroll, or a related field preferred, but not required. Minimum of 2 years of payroll, accounting, HR, or related administrative experience required. Previous experience working with a payroll processing system preferred. Multi-state payroll experience preferred. Experience with garnishments, child support orders, unemployment claims, new-hire reporting, and/or W-2 processing preferred. FCP or Certified Payroll Professional (CPP) designation preferred but not required.
Physical Demands and Abilities:
Must be able to remain in a stationary position for extended periods of time. Frequently operates a computer and other standard office equipment. Frequently performs work requiring extended periods of concentration, reviewing, entering, and verifying financial and employee information. Regularly communicates with employees, customers, branch staff, and other stakeholders regarding payroll-related questions and issues. Frequently works on projects and assignments with established deadlines. Occasionally moves throughout the office to access filing cabinets, office equipment, files, and supplies. May occasionally bend, reach, or lift boxes and materials weighing approximately 5-10 pounds. Must be able to work effectively in a busy office environment with frequent interruptions and competing priorities. Reasonable accommodations may be provided to support individuals with disabilities.
Payroll Coordinator:
