Job Description

Position Summary The Controller is the on-site owner of the practice's financial records. Newport Orthopedic Institute is a physician-owned practice with several locations and affiliated entities that keeps its books on a cash basis. The Controller keeps those books accurate and current, produces the reports physicians and leadership use to run the practice, and works with our outsourced accounting firm and outside CPAs so nothing falls through the cracks. Essential Duties & Responsibilities Cash-basis books . Record revenue when payments are received and expenses when they are paid. Keep the ledger free of accruals, and reconcile all bank and merchant accounts, including deposits to patient payments and payer remittances. Reporting . Deliver monthly financial statements by entity and location, with variance explanations, plus supplemental collections and receivables reporting so leadership sees what cash-basis books alone do not show. Payables and cash . Oversee accounts payable and approvals, vendor payments, and patient and payer refunds; manage cash timing and report concerns early. Payroll and physician compensation . Process or oversee payroll, calculate quarterly physician distributions and call pay per the governing agreements, and support payroll tax, 1099, W-2 and K-1 reporting. Budget and forecasting . Assist the Executive Director with the annual budget and rolling cash forecast; prepare lender and credit facility reporting. Tax and compliance . Prepare year-end schedules for entity tax returns with outside CPAs; track sales and use tax; support audits and legal or tax reviews; maintain internal controls suited to a small practice. Accounting partners and Board . Manage the relationship with the outsourced accounting firm, review their work, and escalate errors; present financial results at monthly Board meetings. Qualifications Bachelor's degree in Accounting, Finance, or Business Administration (or equivalent education and experience). Five or more years of accounting experience, including hands-on cash-basis accounting; medical practice or multi-entity experience preferred. Proficiency with Sage 100 or a comparable general ledger, payroll and AP automation tools, and advanced Excel. Working knowledge of physician compensation, K-1/W-2 reporting, HIPAA, and internal controls. Clear communicator who can explain financial results to physicians and non-financial leaders, and who maintains confidentiality and composure. Supervision and Working Conditions No formal supervisory responsibilities; may direct accounts payable staff and outside accounting resources as needed. Works independently with review by the Executive Director. Normal office environment with prolonged sitting and computer use, and occasional travel between locations.
