Orthodontic Treatment Coordinator CascadEffects Kirkland, WA Job Details Full-time $27 - $32 an hour 1 day ago Qualifications Finance Practice management software Attention to detail Organizational skills Management reporting Full Job Description Orthodontic Treatment CoordinatorAbout the Role We are seeking a confident, energetic, and results-driven Orthodontic Treatment Coordinator who loves connecting with people and helping patients feel excited and confident about saying YES to orthodontic treatment. The Treatment Coordinator plays a key role in both the patient experience and the growth of the practice. You will guide patients and families through their consultation, clearly communicate treatment and financial options, overcome objections, follow up consistently, and help turn new patient opportunities into treatment starts. This is a highly relationship-focused role that requires strong consultative sales, communication, organization, and follow-up skills. What You'll Do Create an exceptional first impression and quickly build trust with patients and families. Lead new patient consultations with confidence, warmth, and enthusiasm. Ask thoughtful discovery questions to understand each patient's motivations, concerns, and barriers to treatment. Clearly communicate treatment recommendations, fees, insurance benefits, payment options, and financing. Help patients understand the value of treatment and confidently ask them to move forward. Address objections related to cost, timing, insurance, and treatment options. Encourage same-day starts whenever clinically and operationally appropriate. Own the pending patient pipeline and consistently follow up with patients who are not ready to begin treatment. Personalize follow-up based on each patient's specific concerns rather than relying solely on generic messaging. Maintain detailed and accurate patient notes, follow-up tasks, and next steps. Partner closely with the doctor and team to create a seamless patient experience. Reporting & Performance The Treatment Coordinator should be comfortable working with numbers and using data to improve results. You will track and report key performance indicators such as: New patient consultations and show rate Case acceptance/conversion rate Same-day start rate Pending patients and pending conversion Treatment starts and production Follow-up effectiveness You should be comfortable reviewing your performance, identifying why patients may not be starting, and developing strategies to improve results. What We're Looking For Our ideal Treatment Coordinator is: Comfortable asking for the sale. Warm, personable, and able to connect with different personalities. Confident discussing money and presenting treatment fees. Goal-oriented and motivated by measurable results. An excellent listener who can uncover what is truly holding a patient back. Skilled at overcoming objections without making patients feel pressured. Persistent and organized with follow-up. Detail-oriented with strong documentation and reporting skills. Comfortable using practice management software, spreadsheets, and technology. Positive, adaptable, accountable, and open to coaching. Previous orthodontic or dental experience is preferred, but candidates with strong experience in consultative sales, high-ticket sales, healthcare, hospitality, or other relationship-based sales roles are encouraged to apply. Successful sales in this role are not about pressure. They are about listening, building trust, communicating value, providing solutions, and making it easy for a patient to confidently say yes .
