Our center provides Applied Behavior Analysis (ABA) therapy to children dealing with learning, developmental and behavioral disorders, including autism. We cater to children ages 18 months to 5 years old, both in our center, in homes, and in schools across New Jersey. All programs are overseen by our Board-Certified Behavior Analysts (BCBA). Job Summary This is a leadership development position with the expectation that the individual will, over time, assume full oversight and responsibility for both the Scheduling and Authorization Departments. The Supervisor Trainee will receive hands-on training and support in both areas, while progressively taking on increased responsibility for department operations, staff coordination, compliance, reporting, problem-solving, and workflow management. The ideal candidate will have strong organizational and analytical skills, demonstrate sound judgment, and have the ability to effectively manage multiple priorities in a fast-paced environment. Duties
Assist in running out ongoing schedules for BCBA/Therapists/Clinical Director/Senior BCBA's for new children/re-authorizations
Assist in handling email requests for cancellations and adjustments to schedules in RethinkBH
Research error codes from authorizations within system/appointments
Assist in follow up of all unverified appointments for BCBA's and therapists weekly Authorization Department Daily Tasks
Collaborate with Clinical Director, BCBAs and Case Managers for scheduling purposes
Communicate effectively (email, phone and conference call) with insurance companies (follow up is key)
Assist in setting up child assessment for prospective student with BCBA and submit report to insurance company for hours to be approved
Assist in organizing and submitting reassessment report to BCBAs every 6 months and submit report to insurance companies for hours to be approved
Keep BCBAs up to date on reauthorization timeline
Support BCBAs with Insurance Peer Reviews and Appeals
Responsible for reviewing assessments to ensure all necessary documents and components are covered for insurance compliance.
Overall Analytical Tasks:
Review of cancelation and authorization reports on a monthly basis
Run monthly reports through Rethink BH to monitor
BCBA CPT
code utilization and identify available hours.
Communicate available CPT hours to BCBAs and Case Management to support appropriate utilization and scheduling.
Audits-verification compliance of BCBA/Therapist staff and reporting to Case Management Requirements
2+ years of business experience preferred
Critical and analytical thinking skills
Ability to multi-task and adapt quickly to unexpected priorities
Exceptional organizational and time-management skills with a strong attention to detail
Positive attitude with desire to be successful and help others
Must be comfortable with making phone calls as well as returning calls, speaking to insurance companies, staff and parents
Good working knowledge of Excel, Word, PowerPoint, Adobe
