The primary goal of the Office Support Specialist is to check outpatients, answer and redirect incoming calls, schedule patient appointments and perform clerical duties. Essential functions include but are not limited to:
Primary Responsibilities:
Greets patients and visitors in a professional, friendly, and hospitable manner Professionally answers and directs incoming calls on the multi-line phone system Triages calls and ensures they are redirected accurately and appropriately Takes clear and detailed phone messages Schedules patient appointments with providers per clinic procedure Collects copays Provides patients with lab orders at check out Schedules outpatient procedures Verifies insurance Enters labs and scans into patient charts Scans and indexes fax server documents Conducts self in accordance with company policies, procedures, and handbook Maintains strict confidentiality and adheres to all HIPAA guidelines Assists coworkers with clerical duties Operates PBX console system in relaying and forwarding calls to patients and clinical staff. Perform receptionist functions (check-in/check-out) as needed. Inputs messages into EMR system Uploads new patient charts into EMR and maintain relations with referring providers Reply to release of information requests Code and file material according to the established procedures Assists with maintaining office inventory Manages incoming fax distribution Professionally answers and directs incoming calls on multi-line phone system Triage calls and ensures they are redirected accurately and appropriately Takes clear and detailed phone messages Schedules patient appointments with providers per clinic procedure Conducts self in accordance with company policies, procedures and handbook Maintains strict confidentiality and adheres to all HIPAA guidelines Other duties as assigned
Qualifications:
Education:
High school diploma or equivalent. Associate degree preferred.
Certification/Licensure:
CMAA preferred.
Experience :
Two years of relevant office experience
Skills :
Knowledge and understanding of the credentialing process. Ability to organize and prioritize work and manage multiple priorities. Excellent verbal and written communication skills including, letters, memos, and emails. Excellent attention to detail. Ability to research and analyze data. Ability to work independently with minimal supervision. Ability to establish and maintain effective working relationships with providers, management, staff, and contacts outside the organization. Proficient use of Microsoft Office applications (Word, Excel, Access) and internet resources.
Physical Requirements:
Hearing :
Adequate to perform job duties in person and over the telephone.
Speaking :
Must be able to communicate clearly to patients in person and over the telephone.
Vision :
Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.
Other :
Requires occasional lifting and carrying items weighing up to 20 pounds unassisted.
