Intake Coordinator - Law Firm Resolutions Law Firm | Hixson, Tennessee Full-Time | 3-5 Years of Legal Intake Experience Preferred Join a Growing Law Firm Where Your Work Directly Impacts Our Clients and Our Success Resolutions Law Firm is seeking an experienced, highly motivated Intake Coordinator to join our growing team in Hixson, Tennessee. This is not simply a receptionist or call-answering position. Our Intake Coordinator is one of the most important members of our team because you will often be the first meaningful interaction a prospective client has with our firm . We are looking for someone who understands how to listen, build trust, identify a prospective client's needs, explain the value of working with our firm, and confidently guide qualified prospective clients toward scheduling a consultation and retaining our services. The ideal candidate combines strong sales and relationship-building skills with prior legal intake experience , preferably in estate planning, probate, real estate law, or a related practice area . What You'll Do As our Intake Coordinator, you will: Respond quickly and professionally to prospective clients contacting the firm by telephone, website inquiry, advertising platforms, email, and other lead sources. Conduct initial intake calls to identify the prospective client's legal needs and determine whether the matter is a good fit for the firm. Build rapport and establish trust with prospective clients from the very first conversation. Communicate the value of the firm's services clearly and confidently. Convert qualified inquiries into scheduled consultations and ultimately into new clients. Consistently follow up with prospective clients who have not yet scheduled or retained the firm. Maintain accurate information regarding leads, follow-up efforts, appointments, and conversion results within the firm's intake and practice-management systems. Coordinate closely with attorneys and other team members to ensure a smooth transition from prospective client to active client. Help identify opportunities to improve the firm's intake, follow-up, and client-conversion processes. Provide prospective clients with a professional, compassionate, and reassuring experience during what may be a difficult or uncertain time in their lives. What We're Looking For We are looking for someone who is: Experienced in legal intake , with approximately 3-5 years of prior intake experience strongly preferred . Familiar with estate planning, probate, real estate law, or related legal services . Comfortable with and motivated by sales, client conversion, and measurable performance goals . An exceptional communicator who can connect with people quickly and naturally. Confident speaking with prospective clients about their needs and guiding them toward the appropriate next step. Highly responsive and understands that timely follow-up can make the difference between earning and losing a prospective client's business. Organized, detail-oriented, and disciplined about maintaining accurate lead and follow-up information. Comfortable working in a fast-paced and growing professional environment. Proactive rather than reactive—you see what needs to be done and take ownership of getting it done. Coachable, accountable, and motivated to continually improve. Able to balance empathy and compassion with confidence and professionalism. Prior experience with Clio or similar legal practice-management or law firm management software is strongly preferred . Experience with XT or similar business phone and communications systems is also preferred. Candidates who have experience using both legal practice-management software and modern phone or lead-management systems will be particularly well suited for this position.
