A full-service restaurant and bar 20 SPARK-equipped bowling lanes A private VIP lounge Arcade games and virtual reality experiences Laser tag and billiards Private event spaces Large HD displays throughout the venue Position Summary We're looking for an organized, proactive, guest-focused part-time Event Coordinator to support our Sales & Events team. This position helps turn inquiries into bookings and keeps event details, client communication, and administrative tasks accurate and on schedule. Working under the direction of the Director of Sales & Marketing and Event Operations Manager, the Event Coordinator supports the booking process from initial inquiry through contracts, deposits, event preparation, and final reconciliation. You'll work closely with our operations team to ensure each event is clearly communicated and ready for execution. Essential Duties and Responsibilities Monitor event inquiries, phone calls, emails, and voicemails during scheduled shifts; respond promptly and maintain timely follow-up. Qualify leads, explain event packages, and help clients select options that meet their needs. Maintain accurate client records, lead statuses, tasks, deadlines, and event details in Tripleseat . Conduct venue tours and communicate package options, pricing, availability, and approved policies. Prepare proposals and contracts using approved pricing and terms; track signatures, deposits, and payment deadlines. Record payments accurately in the designated systems and assist with payment reconciliation. Collect and confirm guest counts, menus, activities, room arrangements, timelines, and special requests. Assist with preparing and updating banquet event orders ( BEOs ), kitchen sheets, event schedules, and other operational documents. Check space and activity availability before confirming bookings or changes; flag scheduling conflicts immediately. Communicate confirmed event changes promptly to the Event Operations Manager and affected departments. Review upcoming events during assigned shifts to identify missing information, unpaid balances, preparation needs, and approaching deadlines. Follow up with prospective clients and past guests to support bookings and repeat business. Provide assigned coverage for client communication and administrative tasks during team members' absences, using clear handoff notes. Assist with event-day guest communication and coordination as assigned. Prepare sales and event reports, maintain documentation, and assist with completed-event reconciliation. Escalate guest concerns, pricing exceptions, scheduling conflicts, and unresolved issues to the appropriate manager. Represent The BLVD! with professionalism, hospitality, and attention to detail in every interaction. Qualifications Strong organizational skills, attention to detail, and reliable follow-through. Excellent written and verbal communication skills. A welcoming, professional approach to guest service and sales. Ability to prioritize competing deadlines and communicate early when support is needed. Comfort working with email, spreadsheets, event management software, and POS systems. Experience in hospitality, event coordination, sales support, or administrative work preferred. Experience with Tripleseat preferred; willingness to learn required. Availability to work a part-time schedule , including evenings, weekends, and holidays as needed to support client needs and event volume. Why Work at The BLVD!?
