Job Description

Position Overview We are seeking a highly organized, detail-oriented, and compliance-focused HR Administrative Admin to support our growing workforce and Human Resources department. As our organization continues to grow, maintaining accurate employee records, timely documentation, consistent HR processes, and compliant personnel files is increasingly important. This position will provide day-to-day administrative support across the employee lifecycle while helping ensure HR processes are completed accurately, consistently, and on time. The ideal candidate is proactive, dependable, comfortable working in a fast-paced environment, and understands that documentation, confidentiality, accuracy, and follow-through are critical in Human Resources. This role will work closely with HR leadership, Recruiting, Payroll, Safety, Operations, and employees across the organization. Key ResponsibilitiesHR Administration & Employee Records Maintain accurate and organized employee personnel files and HR records. Ensure required employee documentation is received, completed, filed, and maintained appropriately. Conduct routine personnel file audits to identify missing, incomplete, or outdated documentation. Maintain electronic HR files using established naming and filing standards. Process employee changes including promotions, transfers, compensation changes, department changes, manager changes, and other employment updates. Prepare HR letters, notices, forms, acknowledgments, and other employee documentation. Maintain employee information within the company's HRIS and other HR systems. Assist employees with general HR questions and route more complex matters to the appropriate HR team member. Maintain strict confidentiality of employee and company information. New Hire & Onboarding Administration Support the administrative process for newly hired employees from offer acceptance through onboarding. Prepare and distribute new-hire documentation. Verify completion of required onboarding forms and acknowledgments. Coordinate completion and retention of Form I-9 documentation in accordance with company procedures and applicable requirements. Track completion of required background checks, screenings, training, and other pre-employment requirements. Coordinate with Recruiting and hiring managers to ensure employees are properly cleared before beginning applicable work duties. Enter new employees into HR systems accurately and timely. Maintain onboarding checklists and follow up on outstanding requirements. Support new-hire orientation and onboarding activities. Ensure completed new-hire documentation is properly filed and retained. HR Compliance Support Assist HR leadership with maintaining compliant employment records and administrative processes. Conduct recurring audits of employee files and HR documentation. Track required employee acknowledgments, certifications, licenses, training, and other documentation. Assist with Form I-9 audits and record maintenance. Help ensure HR documents are retained according to established record-retention requirements. Assist with compliance postings, notices, acknowledgments, and policy distributions. Support HR compliance initiatives across multiple locations and jurisdictions. Maintain organized documentation that can be readily retrieved during internal or external audits. Escalate missing documentation, inconsistencies, or potential compliance concerns to HR leadership. Payroll & Timekeeping Support Assist with reviewing employee information for payroll accuracy. Process approved employee changes affecting payroll and HR records. Assist with identifying missing punches, incomplete time records, or other administrative discrepancies. Coordinate with managers and Payroll regarding approved employee changes. Maintain appropriate documentation supporting employee pay, position, or status changes. Assist with routine HR/payroll audits as assigned. Leave, Attendance & Employee Administration Assist with tracking attendance-related documentation and employee call-offs. Maintain documentation related to employee leaves and accommodations as directed by HR leadership. Track required employee documentation and return-to-work information. Assist HR with distributing appropriate forms and notices. Maintain confidential leave and employee relations documentation separately and appropriately. Escalate employee relations, leave, accommodation, or compliance concerns to the appropriate HR representative rather than independently making employment decisions. Benefits Administration Support Assist employees with basic benefits enrollment questions and direct complex questions to the appropriate HR representative or benefits provider. Support new-hire benefits enrollment administration. Assist with annual Open Enrollment activities. Maintain benefits-related documentation and employee elections as appropriate. Assist with qualifying life-event documentation and administrative processing. Offboarding & Employment Changes Process employee separations and maintain required documentation. Prepare termination and separation paperwork as directed by HR leadership. Update HR systems to reflect employment status changes. Coordinate return of company property with appropriate departments. Maintain separation documentation and offboarding checklists. Assist with employment verification requests according to company procedures. Recruiting Support Provide administrative support to the Recruiting team as needed. Assist with interview scheduling and candidate communication. Maintain candidate and new-hire documentation. Assist with offer letters and pre-employment paperwork. Help ensure candidates complete required pre-employment steps. Coordinate communication between Recruiting, HR, hiring managers, and candidates. Support recruiting reporting and tracking as assigned. Reporting & HR Department Support Maintain HR trackers, spreadsheets, reports, and administrative dashboards. Track upcoming deadlines, missing documentation, training requirements, and employee changes. Assist with preparation of HR reports and headcount information. Support HR projects, audits, employee communications, and company initiatives. Assist HR leadership with scheduling meetings and preparing documentation. Perform other HR administrative responsibilities as assigned.
Qualifications Required:
1-3 years of HR administrative, HR coordinator, or related administrative experience preferred. Strong organizational and documentation skills. Exceptional attention to detail. Ability to handle confidential and sensitive information professionally. Strong written and verbal communication skills. Ability to prioritize multiple assignments and meet deadlines. Strong follow-through and ability to independently track outstanding items. Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams. Comfortable learning and working within HRIS, payroll, applicant tracking, and document-management systems. Ability to communicate professionally with employees at all levels of the organization.
Preferred:
Experience supporting a growing or multi-location workforce. Experience with ADP Workforce Now or similar HRIS/payroll platforms. Experience with applicant tracking or recruiting systems. Familiarity with employment documentation, Form I-9 requirements, personnel file administration, onboarding, and HR compliance. Experience in transportation, logistics, warehousing, distribution, or another fast-paced operational environment is a plus. What Success Looks Like Success in this position means HR records are accurate, complete, organized, and audit-ready . The HR Administrative Coordinator will help ensure: New hires are processed accurately and timely. Employee files are complete and properly maintained. HR systems reflect accurate employee information. Missing documentation is identified and followed up on. Employee changes are properly documented. HR deadlines and compliance requirements are tracked. HR leadership has reliable information and administrative support. Employees receive professional and timely assistance.
Pay:
$22.00 - $25.00 per hour
