at Robert Half in Portland, Maine, United States Job Description Description Our client, a full-service regional law firm, is seeking a Litigation Legal Assistant to support litigation attorneys in Portland, Maine. This position plays an important role in keeping case activity organized from opening through resolution while helping the team prepare for court appearances, discovery matters, and client communications. The ideal candidate brings strong administrative judgment, excellent document management skills, and the ability to balance multiple deadlines in a fast-paced legal environment.

Schedule:

In Office M-F during onboarding, then hybrid (3 days in, 2 days remote)

Responsibilities:

+ Assist with trial, deposition, hearing, and other court proceeding preparation, including presentations and supporting materials.

+ Attend client meetings and conference calls and prepare detailed summaries and follow-up notes.

+ Prepare, organize, and maintain exhibits for depositions, court filings, hearings, and trials.

+ Review and analyze case documents; prepare deposition summaries, document digests, chronologies, and fact summaries; and coordinate incoming and outgoing document productions.

+ Assist attorneys with the preparation of graphics, demonstrative exhibits, and other trial presentation materials.

+ Draft and proofread pleadings, correspondence, memoranda, and other legal documents, ensuring accuracy in grammar, spelling, formatting, and citations; prepare Tables of Contents and Tables of Authorities as needed.

+ Manage attorney calendars and schedules, including meetings, court appearances, business travel, and other commitments; coordinate necessary materials and logistics in advance.

+ Receive, screen, and route incoming telephone calls, conference calls, and messages to attorneys, clients, and staff; assist callers and respond to routine inquiries as appropriate.

+ Process incoming and outgoing mail, including sorting, scanning, distributing, and calendaring pleadings and other time-sensitive materials.

+ Draft, edit, and format correspondence, memoranda, pleadings, and other legal documents for attorney review and signature.

+ Coordinate meetings, conferences, depositions, and client appointments, including conference room reservations, catering, materials, and client hospitality; arrange seminar registrations and attorney travel, including air, hotel, and ground transportation.

+ Prepare monthly client billing, coordinate attorney review, and edit and finalize invoices to ensure accuracy.

+ Establish, organize, and maintain electronic and paper case files; review and file documents appropriately, retrieve files as requested, and manage closed files in accordance with firm procedures.

+ Perform a variety of administrative and practice-support functions, including processing new matter reports, preparing engagement letters, calendaring deadlines, processing attorney expense reimbursements, and tracking CLE credits and bar registrations.

Requirements Requirements:

+ 1 or more years of legal administrative assistant experience in a law firm in litigation.

+ Strong problem-solving skills.

+ Demonstrated ability to be a team player. A can-do attitude.

+ Excellent written and verbal communication skills.

+ Ability to demonstrate a high degree of professionalism and interpersonal skills, including maintaining positive contact with clients, attorneys, and co-workers.

+ Ability to pay close attention to detail to ensure the highest quality work product for the client.

+ Strong technical aptitude. Intermediate Microsoft Word, Excel, Adobe, Teams, and PowerPoint skills required, with advanced skills preferred.

+ Strong multitasking skills. Ability to organize and prioritize numerous tasks and complete them under time constraints.

+ Flexibility to work extended hours as needed.
