Full-Time, Exempt (or Non-Exempt based on local regulations) Position Overview The Apartment Maintenance Supervisor is responsible for overseeing all on-site physical operations, maintenance requests, preventative care, vendor relationships, and staff management for a residential multi-family community. Working closely with the Property Manager, this leadership role ensures the building remains safe, compliant, and visually appealing while maintaining strict budget guidelines.

Core Responsibilities Maintenance & Repair Operations Systems Repair:

Troubleshoot and repair HVAC, plumbing, electrical, carpentry, and major appliance systems.

Apartment Turnovers:

Supervise and execute the make-ready process to ensure vacant apartments are prepared for new residents within company timelines.

Preventative Care:

Establish and execute a preventative maintenance schedule for all major mechanical systems and structural elements.

Work Order Management System Tracking:

Oversee and manage the property's digital computerized maintenance management system (CMMS) or property management software.

Prioritization & Delegation:

Assign daily service requests to maintenance technicians based on urgency, skill level, and location on the property.

Quality Control:

Inspect completed work orders to ensure repairs meet safety codes and quality standards before closing them out in the system.

KPI Reporting:

Track critical operational metrics, including average work order resolution time, open service tickets, and resident satisfaction scores.

Vendor Relations & Contractor Oversight Bid Management:

Solicit, review, and negotiate competitive bids from third-party contractors for large-scale capital improvement projects.

Vetting & Compliance:

Verify that all external vendors possess active licenses, adequate insurance coverage, and proper compliance documentation.

Project Supervision:

Supervise external contractors (e.g., roofers, landscapers, painters, waste management) on-site to ensure work aligns with scope-of-work agreements and deadlines.

Invoice Approval:

Review vendor invoices for accuracy against completed work before submitting them to the property manager for payment.

Staff & Personnel Management Team Leadership:

Supervise, train, and mentor on-site maintenance technicians, groundskeepers, and make-ready staff.

Scheduling:

Manage daily staffing schedules, time-off requests, and the emergency after-hours on-call rotation.

Safety, Compliance & Budgeting Risk Management:

Perform daily property inspections to identify and resolve immediate safety hazards, ensuring full compliance with OSHA and local building codes.

Inventory Control:

Monitor inventory levels of parts and supplies, placing orders within strict monthly budget allocations.

Customer Service:

Maintain positive resident relations by resolving service concerns promptly, politely, and professionally.

Qualifications & Requirements Education:

High school diploma or GED equivalent; vocational training or trade school background preferred.

Experience:

Requires 3 to 5 years of multi-family property maintenance experience, with at least 1 to 2 years in a supervisory role managing staff and third-party vendors.

Technical Proficiency:

Proven experience utilizing property management software (e.g., Yardi, RealPage, Entrata) or digital work order ticketing systems.

Skills:

Exceptional negotiation, communication, and organizational skills; must possess standard trade tools.

Physical Demands:

Ability to lift 50-100 lbs, climb ladders, work outdoors in various weather conditions, and be mobile throughout the day.

Availability:

Must be able to participate in a rotating schedule for weekend work and after-hours emergency on-call shifts.

Pay:

$63,000.00 - $65,000.00 per year
