We are a small, privately held family investment office based in Southern California. Our office oversees a portfolio of approximately 12 to 15 real estate assets, including commercial and income-producing properties. We work closely with third-party property managers, leasing brokers, lenders, attorneys, accountants, insurance professionals, investment advisors, contractors, and other industry experts. We operate with institutional-level care, attention to detail, and integrity while maintaining the flexibility and entrepreneurial environment of a family office. This role combines owner-side asset management, hands-on property oversight, financial review, leasing coordination, and transaction support within a lean private family office.
Essential Job Functions:
Property Performance and Owner Oversight :
Partner with the Managing Principal on the performance and value of approximately 12 to 15 commercial and multifamily assets. Review information critically, challenge assumptions when appropriate, and identify matters requiring ownership attention.
Property Manager Accountability :
Oversee third-party property managers regarding reporting, tenant matters, repairs, receivables, vendor recommendations, budgets, and owner approvals. Track open items through completion and escalate significant concerns.
Financial and Operating Review :
Review operating statements, budget-to-actual reports, rent rolls, accounts receivable, and supporting detail. Identify material variances, delinquencies, inconsistencies, and opportunities to improve performance.
Asset Planning and Reporting :
Maintain practical asset plans and dashboards covering occupancy, vacancies, lease expirations, tenant issues, capital needs, budget concerns, property manager performance, and 90-day priorities.
Leasing and Broker Coordination :
Monitor vacancies and the leasing pipeline; follow up with brokers on inquiries, tours, proposals, LOIs, negotiations, and market feedback. Prepare lease economics summaries and identify decisions needed from ownership.
Lease and Rent Roll Coordination :
Work with the Operations Manager to resolve rent roll discrepancies, confirm lease changes, and monitor expirations and option dates. Use verified lease data to support leasing strategy and broker follow-up.
Capital Projects and Tenant Improvements :
Monitor capital expenditures, tenant improvements, landlord work, repairs, and ADA-related projects. Track bids, budgets, schedules, permits, change orders, invoices, and completion while coordinating with managers, contractors, consultants, vendors, and tenants.
Property Visits and Practical Problem-Solving :
Visit Southern California properties as needed. Walk vacant suites, roofs, parking and common areas, and relevant building spaces; document conditions, prepare follow-up lists, and verify completion of reported work.
Strategic and Transaction Support :
Assist with hold/sell reviews, refinancings, major lease and capital analyses, acquisitions, dispositions, and debt transactions. Review rent rolls, operating statements, leases, budgets, offering materials, broker opinions, and other diligence items. Coordinate information among managers, buyers, lenders, attorneys, brokers, consultants, and escrow, and prepare clear issue lists for ownership.
Cash Flow and Capital Requirements :
Help forecast property cash needs for operations, leasing, tenant improvements, capital projects, debt service, and distributions. Identify potential funding needs early and communicate them clearly.
Organization and Communication :
Prepare concise summaries identifying material issues, recommended actions, responsible parties, target dates, and decisions required. Maintain organized open-item lists and communicate proactively.
Technology, Collaboration, and Initiative :
Coordinate effectively with the Managing Principal, Operations Manager, property managers, brokers, attorneys, accountants, lenders, contractors, and other advisors. Use AI and software for reporting, variance review, rent roll comparisons, project tracking, and diligence. Verify important information, improve processes, and assist with practical matters in a lean family office.
Qualifications & Technical Competencies:
Approximately 3 to 7 years of relevant experience in commercial real estate asset management, property management, leasing, portfolio operations, ownership, development, brokerage, or related field. Ability to review operating statements, budgets, rent rolls, accounts receivable, and property management reporting packages. Working knowledge of commercial lease economics, including rent, escalations, free rent, tenant improvements, commissions, deposits, options, and landlord obligations. Ability to interpret leases, amendments, loan documents, vendor contracts, construction proposals, and related real estate documentation, while recognizing when professional advice is needed. Strong Excel and financial analysis skills, including property cash flow, variance analysis, lease comparisons, and decision-support schedules. Familiarity with NOI, occupancy, cash flow, cap rates, IRR, NPV, and return on cost. Argus experience is helpful but not required. Experience working with property managers, brokers, contractors, attorneys, lenders, accountants, or other real estate professionals. Ability to manage multiple properties, projects, deadlines, and open items independently while keeping ownership informed of material developments, delays, risks, and recommended next steps. Strong written and verbal communication, attention to detail, and commitment to verifying source information and AI-assisted work. Experience with Microsoft Office, QuickBooks, and modern technology; willingness to learn and use AI tools responsibly to improve reporting, document review, tracking, and productivity. Ability and willingness to visit properties throughout Southern California and investigate practical property-level issues. Bachelor's degree preferred, although relevant experience, judgment, integrity, initiative, and work ethic are equally valued.
