1 Position Summary We are seeking a Volunteer Coordinator to join one of Central Florida's oldest and most established social service agencies. Our mission is to create housing solutions, provide compassionate homeless day services, and work alongside partners to inspire community action. The Volunteer Coordinator supports the daily operations of the organization's volunteer engagement program and serves as a primary point of contact for volunteers throughout their service experience. This position is responsible for volunteer communication, scheduling, onboarding, orientation, documentation, recognition, and onsite support while helping ensure volunteers are effectively integrated into the organization's programs and operational needs. Working under the direction of the Volunteer Services Manager, the Volunteer Coordinator provides hands-on support to individual volunteers and groups and helps create an organized, welcoming, and meaningful volunteer experience. This position requires a balance of administrative coordination, timely communication, relationship building, and active presence throughout the campus. Chief Responsibilities and Duties Volunteer Scheduling & Coordination
- Maintain accurate individual and group volunteer schedules using the organization's volunteer management system, Volgistics.
- Coordinate daily and weekly volunteer placements based on organizational needs, volunteer interests, availability, skills, and appropriate service opportunities.
- Maintain volunteer calendars and communicate upcoming volunteer assignments and schedules to appropriate staff and departments.
- Confirm volunteer assignments, arrival instructions, service expectations, and other necessary information with volunteers prior to service.
- Monitor volunteer coverage and proactively identify scheduling gaps or areas where additional volunteer support may be needed. Volunteer Onboarding, Orientation & Compliance
- Respond promptly and professionally to new volunteer inquiries and applications.
- Process volunteer applications and assist prospective volunteers through the onboarding process.
- Ensure required background screenings, waivers, forms, acknowledgments, and other required documentation are completed prior to volunteer service.
- Maintain accurate and current volunteer records in Volgistics.
- Conduct volunteer orientations and provide information regarding organizational mission, programs, policies, safety expectations, confidentiality, appropriate boundaries, and volunteer responsibilities.
- Provide or coordinate role-specific training before volunteers begin service assignments.
- Assist with the screening, approval, documentation, and tracking of court-ordered community service volunteers in coordination with the Volunteer Services Manager.
- Maintain appropriate documentation of volunteer service hours and provide service-hour verification when requested. Volunteer Communication & Experience
- Serve as a primary point of contact for current and prospective volunteers.
- Maintain timely communication with volunteers by phone, email, and other approved communication methods.
- Welcome volunteers and groups to the campus and help ensure a positive, organized, and mission-centered volunteer experience.
- Regularly interact with volunteers throughout the campus to answer questions, provide direction, resolve routine concerns, and ensure volunteers have the resources necessary to complete their assignments.
- Build positive relationships with recurring volunteers and groups to encourage continued engagement.
- Gather volunteer feedback and communicate opportunities for improvement to the Volunteer Services Manager.
- Foster a culture of hospitality, professionalism, respect, and compassionate service throughout volunteer interactions. Onsite Volunteer Support
- Maintain a visible and active presence throughout the campus during volunteer activities.
- Check in with volunteers serving in meal service, Guest Services, donation management, administrative support, campus projects, and other service areas.
- Ensure volunteers understand their assignments and are connected with the appropriate staff member or department.
- Communicate with staff when volunteers are scheduled to assist within their areas and provide relevant information regarding volunteer assignments.
- Assist with resolving routine volunteer questions, scheduling issues, and service concerns, escalating significant concerns to the Volunteer Services Manager when appropriate.
- Support volunteers working alongside individuals experiencing homelessness and help reinforce appropriate boundaries, confidentiality, safety practices, and organizational expectations. Saturday Volunteer Operations
- Serve as a primary Volunteer Services presence on Saturdays.
- Coordinate and support volunteer groups participating in campus improvement and beautification projects.
- Coordinate and support volunteers assisting with Saturday meal service.
- Welcome and orient Saturday volunteer groups, confirm assignments, and connect volunteers with necessary staff, supplies, equipment, and resources.
- Monitor volunteer activities throughout the day and provide hands-on assistance and troubleshooting as needed.
- Help ensure campus projects are appropriately planned, safely completed, and coordinated with Operations and Facilities staff.
- Maintain accurate participation and service-hour records for Saturday volunteers and groups. Volunteer Groups & Community Engagement
- Assist the Volunteer Services Manager with coordination and stewardship of corporate, church, school, civic, and community volunteer groups.
- Respond to group inquiries and assist with scheduling, documentation, orientation, logistics, and follow-up communication.
- Support the Volunteer Services Manager with meal service groups and meal sponsorship opportunities.
- Assist with volunteer fairs, community events, presentations, and recruitment activities as needed.
- Help identify opportunities to strengthen relationships with recurring volunteer groups and community partners. Volunteer Recognition & Retention
- Coordinate routine volunteer recognition and stewardship activities, including thank-you communications, service milestones, certificates, and other recognition efforts.
- Help identify highly engaged volunteers and opportunities for increased involvement or volunteer leadership.
- Assist with volunteer retention initiatives and ongoing communication.
- Work closely with the Volunteer Services Manager to plan and execute the organization's annual volunteer appreciation event. Intern & Volunteer Leadership Support
- Assist with the onboarding, scheduling, coordination, and support of interns as assigned.
- Work with the Volunteer Services Manager to provide guidance to volunteer team leaders and highly engaged volunteers.
- Help identify volunteers who may be appropriate for expanded responsibilities or leadership roles.
- Assist interns and volunteer leaders with understanding organizational expectations, assignments, and service priorities. Volunteer Data & Administrative Support
- Maintain accurate volunteer profiles, schedules, service hours, documentation, and participation records in Volgistics.
- Regularly review volunteer records for missing or expired documentation and conduct appropriate follow-up.
- Assist the Volunteer Services Manager with volunteer reports, statistics, and program data.
- Track volunteer participation, hours, cancellations, and other information needed to evaluate the volunteer program.
- Maintain organized electronic and physical volunteer records in accordance with organizational policies.
- Assist with developing and updating volunteer communications, orientation materials, instructions, forms, and other resources.
- Support other Volunteer Services administrative functions and special projects as assigned. Qualities and Competencies

- Comfortable spending portions of the workday moving throughout a multi-building campus and interacting directly with volunteers, staff, partners, and program participants.
- Comfortable interacting daily with adults and children experiencing homelessness.
- Volunteer management software experience preferred; experience with Volgistics is a plus. Education and Experience
- One to two years of experience in volunteer coordination, nonprofit services, community engagement, customer service, hospitality, administrative coordination, human services, or a related field preferred.
- Previous experience working with volunteers or coordinating groups strongly preferred.
- Experience managing calendars, schedules, records, or multiple competing priorities.
- Excellent oral and written communication skills.
- Strong attention to detail and ability to maintain accurate records and documentation.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Experience with volunteer management, scheduling, CRM, or similar software preferred.
- Bachelor's degree in nonprofit management, communications, business administration, public administration, human services, or a related field preferred but not required.
