This position serves as a key link between estimating, purchasing, project management, and field operations, helping ensure that projects are accurately priced, properly supplied, and efficiently executed. The role encompasses electrical construction estimating, purchasing and inventory oversight, material coordination, project deliveries, and administrative support across multiple areas of the company. The ideal candidate brings hands-on experience in electrical construction estimating, purchasing, inventory management, vendor relations, and project coordination . A strong understanding of construction plans and specifications is essential, along with the ability to interpret project documents, develop accurate estimates, coordinate material and service requirements, and communicate effectively with internal teams and external partners. The successful candidate will be organized, resourceful, and comfortable managing multiple priorities while maintaining a high standard of accuracy, quality, efficiency, and customer service from the initial estimate through project completion. Essential Duties & Responsibilities
  • Estimating & Project Support
  • Read and interpret architectural and structural plans, specifications, and related construction documents.
  • Prepare accurate project estimates by gathering proposals, blueprints, specifications, and supporting documentation.
  • Analyze labor, material, equipment, and time requirements to determine project costs.
  • Maintain and update estimating databases and back up project information.
  • Prepare scopes of work prior to project handoff to the Project Manager.
  • Prepare special reports and communicate project information to Account Managers.
  • Evaluate customer-requested changes and prepare change orders that modify the original estimate.
  • Document written customer requests and maintain accurate project records.
  • Identify and resolve issues that may affect project cost, schedule, or quality.
  • Ensure punch list items are completed.
  • Stay current with construction methods, materials, and industry standards through ongoing education. Purchasing, Inventory & Vendor Coordination
  • Manage the complete purchasing process from purchase order creation through order fulfillment.
  • Coordinate with vendors and suppliers to ensure timely procurement of materials and services.
  • Monitor purchase orders, deliveries, inventory levels, and vendor performance to maintain project schedules.
  • Maintain accurate inventory and purchasing records within company systems.
  • Resolve purchasing and inventory discrepancies while communicating updates to internal departments.
  • Identify opportunities to reduce costs, minimize waste, and improve inventory efficiency. Delivery Coordination
  • Coordinate project deliveries from scheduling through successful completion.
  • Track deliveries and maintain communication to ensure customer satisfaction. Administrative & Operational Support
  • Support the collection, organization, and ongoing maintenance of operational data to provide accurate and timely information to Sales, Estimating, Design, and Field Operations teams.
  • Coordinate and facilitate in-person and virtual meetings among internal departments, clients, vendors, and other project stakeholders.
  • Maintain well-organized and up-to-date electronic and hard-copy project records, ensuring documentation is readily accessible and properly maintained.
  • Compile reports, project summaries, correspondence, and other documentation to support project execution and day-to-day business operations.
  • Provide additional administrative and operational support as needed, contributing to the efficient execution of company initiatives and overall business objectives. Compliance & Process Improvement
  • Identify opportunities to improve operational processes, purchasing procedures, and inventory management.
  • Support continuous improvement initiatives and contribute to overall team success. Service Call Coordinator & Scheduler
  • Coordinate incoming service requests, gather job details, and schedule calls based on urgency, location, technician availability, and required expertise.
  • Manage daily technician schedules and dispatches, making real-time adjustments for emergencies, cancellations, delays, and changing priorities.
  • Serve as the primary communication link between customers, technicians, project managers, vendors, and office staff.
  • Communicate appointment times, arrival windows, service updates, and follow-up requirements to customers in a professional and timely manner.
  • Maintain accurate work orders and service records, including job details, technician notes, materials, labor, photos, and completion status.
  • Monitor active service calls from scheduling through completion and promptly address delays, scheduling conflicts, return visits, and unresolved issues.
  • Coordinate materials, equipment, and other resources required to complete service calls efficiently.
  • Assist with service estimates, proposals, invoices, and other documentation as needed.
  • Follow up on open work orders, warranty items, and customer concerns to ensure timely resolution.
  • Support continuous improvement of scheduling, technician utilization, and overall service department efficiency. Qualifications
  • Minimum of 3 years of experience in construction estimating, purchasing, inventory management, project coordination, administrative support, or a related field.
  • Ability to read and interpret architectural and structural drawings and construction specifications.
  • Experience with Pro-Core estimating software
  • Proficient in purchasing procedures, inventory management, supplier coordination, and construction material sourcing.
  • Solid knowledge of construction terminology, processes, and the typical flow of project operations.
  • Highly organized with strong time-management skills and the ability to effectively balance competing priorities and deadlines.
  • Advanced working knowledge of Microsoft Excel and the Microsoft Office suite.
  • Strong numerical, analytical, and critical-thinking skills with the ability to identify issues and develop practical solutions.
  • Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with vendors, team members, and other stakeholders.
  • Detail-oriented with a strong focus on accuracy, consistency, and thoroughness.
  • Comfortable working independently while also contributing effectively as part of a collaborative, fast-paced team.
  • Flexible and adaptable, with a willingness to assume additional duties and responsibilities as company and project needs change.
