accredited calibration laboratory , is seeking an organized, proactive, and detail-oriented Purchasing & Logistics Coordinator to join our team. This position will support the Purchasing Department with vendor coordination, purchase orders, subcontracted calibration services, parts and supplies, shipping, receiving, and order follow-up . The ideal candidate is highly organized, communicates well with vendors, and is comfortable managing multiple orders and priorities in a fast-paced environment. Key Responsibilities Request and compare quotes from vendors and service providers. Create and process purchase orders (POs). Follow up with vendors regarding pricing, availability, lead times, and order status. Purchase parts, supplies, equipment, and services required for laboratory operations. Coordinate equipment being sent to outside vendors for subcontracted calibration and repair. Track open purchase orders and ensure orders are completed within the required timeframe. Coordinate inbound and outbound shipments. Track packages and follow up on delayed or missing shipments. Verify that received items match purchase orders and vendor documentation. Maintain accurate purchasing and vendor records. Communicate with vendors regarding discrepancies, incorrect shipments, damaged items, or missing documentation. Assist with obtaining calibration certificates, service reports, packing slips, invoices, and other required documentation. Coordinate with Accounting to resolve invoice and purchase-order discrepancies. Work closely with the Technical, Customer Service, Quality, and Accounting departments. Maintain organized records of purchases, subcontracted services, and shipments. Assist with evaluating new vendors and maintaining approved vendor information. Monitor urgent orders and communicate delays or potential problems to management. Support additional purchasing and logistics activities as needed. Qualifications Previous experience in purchasing, procurement, logistics, supply chain, administrative support, or vendor management preferred. Strong organizational and follow-up skills. Excellent attention to detail. Strong written and verbal communication skills. Comfortable communicating professionally with vendors and customers by phone and email. Ability to manage multiple purchase orders and priorities simultaneously. Basic knowledge of shipping and receiving processes. Proficiency with Microsoft Office, including Excel and Outlook. Experience with QuickBooks or similar business/accounting software is a plus. Ability to research products, part numbers, vendors, and technical items online. Ability to work independently while also collaborating with multiple departments. Preferred Experience Experience in any of the following areas is a plus: Aviation or aerospace MRO Calibration or metrology Manufacturing Industrial equipment Technical purchasing Procurement Shipping and logistics Vendor management Purchasing parts and technical equipment What We're Looking For We are looking for someone who is organized, responsible, persistent, and excellent at following up .
