Procurement & Vendor Operations Coordinator (On-Site)

Full-Time | On-Site Overview We are seeking a highly organized and detail-oriented Procurement & Vendor Operations Coordinator to support our procurement team in Jacksonville, FL. This role is focused on vendor follow-ups, purchase order tracking, quality control coordination, and documentation management. The ideal candidate thrives in a structured, process-driven environment and is comfortable communicating with overseas manufacturers. This is an operational support role — not a sourcing strategy or negotiation position. Key ResponsibilitiesVendor Communication Communicate daily with overseas suppliers (Mandarin proficiency preferred) Follow up on production timelines and shipment schedules Confirm MOQs, pricing, and delivery dates in writing Maintain vendor communication logs Purchase Order & Production Tracking Track purchase orders from approval to shipment Monitor production milestones Flag delays or discrepancies immediately Maintain organized tracking sheets and status updates Quality Control & Documentation Coordinate pre-production samples Collect and organize QC photos and inspection reports Maintain compliance and packaging documentation Ensure internal procurement files remain audit-ready Administrative & Operational Support Update spreadsheets and tracking systems Maintain structured digital folders Assist with container and shipment documentation Support procurement leadership with follow-ups and reporting Required Qualifications 1-3 years experience in procurement, supply chain, vendor coordination, or administrative operations Strong organizational skills Comfortable working in Excel and spreadsheets Strong written communication skills Ability to follow structured workflows and meet deadlines On-site availability (Jacksonville office) Preferred Qualifications Mandarin (written and spoken) Experience working with overseas vendors or manufacturers Experience in retail or consumer goods environment What This Role Is Not Not a sourcing manager role Not a contract negotiation role Not responsible for SKU selection or pricing strategy This position supports structured procurement operations and ensures communication and documentation stay clean and accurat

Pay:

$40,000.00 - $60,000.00 per year
