Job Description
Position Summary The Purchasing Agent is responsible for managing purchase orders, resolving invoice issues, and maintaining vendor information to support the day-to-day purchasing process. This position works closely with field offices, vendors, and internal departments to ensure purchasing activities are completed accurately and on time. The Purchasing Agent also oversees vendor setup, tracks rebate programs, reviews vendor pricing, and looks for ways to improve purchasing processes and reduce costs. Essential Duties & Responsibilities Investigate, resolve, and process problem invoices by working with vendors and field offices to ensure timely payment. Coordinate vendor credit requests and follow up on outstanding credits with key suppliers. Create purchase orders (POs) for field offices, ensuring accuracy and compliance with company procedures. Coordinate between field offices, vendors, and corporate departments to resolve purchasing and invoicing issues. Help maintain accurate vendor pricing within company software. Respond to purchasing-related questions from field offices. Maintain accurate purchasing records and documentation. Work with team members to identify process improvements that increase efficiency and support company goals. Assist with vendor cost analysis by reviewing pricing, identifying discrepancies, and supporting cost-saving initiatives. Monitor vendor rebates and incentive programs, ensuring rebate opportunities are tracked, submitted, and received in a timely manner. Assist with vendor setup and maintenance, including new vendor onboarding and updates to vendor information within company systems. Qualifications High school diploma or equivalent; additional education or experience in purchasing, business, accounting, or a related field is a plus. Strong attention to detail. Strong analytical and problem-solving skills. Customer-service mindset with the ability to build positive relationships with vendors and internal teams. Ability to prioritize competing deadlines and manage multiple tasks effectively.
