Director of Sullivan Family Distribution Center FLSA Status:
Non-Exempt Overview:
The Procurement Specialist supports distribution center operations by managing purchasing, inventory replenishment, purchase orders, vendor communication, inbound shipments, and supply issue resolution to maintain product availability and operational efficiency.
Essential Job Duties:
Monitor inventory levels and execute replenishment plans to maintain optimal stock levels and service level objectives. Generate, manage, and track purchase orders based on inventory requirements, forecasts, and operational demand to ensure timely delivery. Maintain regular communication with sales department directors or category buyers, vendors, and internal stakeholders regarding order status, lead times, backorders, shortages, shipment schedules, and inventory needs. Coordinate inbound shipments with freight forwarders, carriers, and warehouse teams. Assist in resolving receiving discrepancies, shipment delays, damaged goods, and inventory variances. Participate in vendor meetings and support procurement leadership during vendor reviews, contract discussions, and sourcing initiatives by providing inventory, purchasing, and operational insights. Analyze inventory trends and recommend replenishment adjustments to reduce stockouts, excess inventory, and potential supply disruptions. Collaborate with finance and accounting teams regarding invoice discrepancies and purchase order reconciliation. Maintain reporting and records related to inventory levels, open orders, vendor performance, supplier information, pricing data, and replenishment activities. Ensure compliance with company purchasing procedures and inventory control standards.

Working Environment:
Primarily office-based within a distribution center environment. Frequent interaction with warehouse personnel, vendors, carriers, and freight forwarders. Regular schedule is Monday through Friday, with flexibility required to support business needs.

Ability to remain calm, objective, and organized in a fast-paced, deadline-driven environment while managing multiple priorities. Ability to work independently with minimal supervision, collaborate effectively with others, and adapt quickly to changing conditions.
Physical Demands:
Ability to sit, stand, walk, and use a computer for extended periods of time. Vision, hearing, speech, reading, and comprehension are required. Must be able to occasionally lift, push, pull, and carry up to 25 lbs (less than 10% of the time). Must be able to bend and kneel occasionally (less than 25% of the time).
Communication Demands:
Requires strong verbal and written communication skills to exchange information, instructions, and updates effectively. Regular phone and email contact with vendors, carriers, freight forwarders, and internal teams.
Knowledge/Skills:
Strong working knowledge of software, database management, and word processing programs. Strong customer service and vendor relationship skills. Demonstrated proficiency in mathematics to include but not limited to addition, subtraction, division, fractions, and percent calculations. Experience with ERP or inventory management systems. Intermediate Microsoft Excel skills, including lookups and pivot tables. Understanding of lead times, reorder points, and replenishment planning. Strong attention to detail and accuracy when working with numbers and records.
Education/Experience:
Bachelor's degree in business management or related field of study or a minimum of one year of experience in purchasing, inventory control, supply chain, or distribution; Equivalent combination of education and work experience.
