Procurement & Operations Coordinator O-Lux Technologies Naperville, IL Job Details Full-time From $60,000 a year 5 hours ago Benefits Health insurance Dental insurance 401(k) Paid time off Vision insurance Qualifications Microsoft Excel Executive administrative support Attention to detail Productivity software Document management Full Job Description Procurement & Operations Coordinator O-Lux Technologies is seeking a highly organized and detail-oriented Procurement & Operations Coordinator to support the daily operational and procurement functions of our growing Managed Service Provider (MSP) business. This role is responsible for coordinating technology procurement, vendor communications, internal administrative operations, and helping ensure projects, purchasing, and client deliverables move efficiently throughout the organization. The ideal candidate is proactive, organized, dependable, and capable of managing multiple responsibilities in a fast-paced technology environment. This position plays a critical role in supporting both our internal team and client operations. Responsibilities Coordinate purchasing of hardware, software, licensing, and technology-related equipment Communicate with vendors and distributors regarding pricing, availability, shipping, and order status Track procurement orders, backorders, RMAs, and delivery timelines Assist with quote preparation and procurement coordination for client projects Maintain organized records for purchasing, licensing, warranties, and vendor documentation Coordinate with accounting regarding invoices, procurement reconciliation, and billing-related items Support operational workflows and administrative functions across the organization Assist with onboarding coordination, scheduling, documentation management, and internal process organization Help improve operational efficiency and maintain consistent internal procedures Provide administrative and operational support to leadership and technical staff as needed Qualifications Strong organizational and multitasking skills Excellent communication and follow-up abilities High attention to detail and accountability Ability to work independently and manage priorities effectively Professional written and verbal communication skills Experience with Microsoft Office, Excel, and general business systems Previous procurement, operations, administrative, or MSP experience preferred Experience working with vendors, distributors, or technology purchasing is a plus Preferred Traits Proactive and solution-oriented mindset Strong sense of ownership and responsibility Ability to thrive in a fast-paced and growing environment Comfortable handling multiple moving parts simultaneously Process-driven with strong follow-through
