Job Description
Fuel Buyer and Logistics RepresentativePosition OverviewWe are seeking a detail-oriented Fuel Buyer and Logistics Representative to manage fuel procurement and coordinate logistics for timely, cost-effective delivery. The role is responsible for forecasting fuel needs, executing fuel purchases, maintaining supplier relationships, and ensuring accurate delivery documentation. The ideal candidate combines strong buying and forecasting skills with logistics coordination to optimize supply, control costs, and support operational continuity.
Key ResponsibilitiesDevelop and maintain accurate short- and long-term fuel forecasts based on consumption data, seasonal trends, and business plans.
Source, solicit and execute fuel purchases that meet quality, timing and budget requirements while minimizing cost and risk.
Negotiate pricing, terms and delivery schedules with suppliers, haulers and vendors to secure competitive supply agreements.
Coordinate logistics and deliveries with carriers and terminal operators; monitor schedules to ensure on-time receipt and resolve delivery exceptions.
Manage relationships with fuel suppliers, haulers and service vendors; evaluate performance and address service issues to ensure reliable supply.
Prepare, review and maintain fuel purchase documentation including contracts, purchase orders, bills of lading and delivery confirmations.
Monitor market conditions, fuel pricing and supply factors; provide regular reports and recommendations to management for procurement and hedging strategies.
Track and reconcile fuel receipts, gallons delivered and invoicing; resolve discrepancies between supplier invoices and internal records.
Collaborate with operations, retail sites and accounting to align procurement and delivery schedules with site demand and inventory targets.
Maintain accurate records and produce periodic reports on consumption, spend, supplier performance and inventory levels.
Ensure compliance with regulatory requirements, safety procedures and company policies related to fuel handling and transportation.
QualificationsBachelors degree in Supply Chain, Logistics, Business, Economics or related field preferred2+ years experience in fuel procurement, commodity buying or logistics coordination, preferably in retail fuel, energy or supply chain environments.
Demonstrated expertise in fuel buying, forecasting demand and managing logistics for deliveries and haulers.
Strong negotiation skills with experience contracting suppliers, negotiating pricing and managing vendor relationships.
Proficiency interpreting fuel market signals, pricing structures and market trends to inform purchasing decisions.
Experience with contracts, bills of lading and purchase orders.
Comfortable using forecasting tools, inventory management systems and spreadsheets; experience with procurement or ERP systems is a plus.
Strong analytical skills to prepare procurement reports, reconcile transactions and recommend cost-saving opportunities.
Ability to manage multiple priorities, adapt to changing market conditions and work effectively in a fast-paced operations environment.
