$18.00•20.00 Position Summary The Administrative Associate•Import Procurement provides administrative and clerical support to the Import Procurement Department by maintaining accurate procurement data, entering and updating Bills of Materials (BOMs), preparing international shipping documentation, and supporting the day-to-day administrative functions of the department. This position plays a critical role in ensuring ERP system accuracy, supporting efficient procurement operations, and facilitating the timely movement of imported materials and products. Essential Duties and Responsibilities Enter, maintain, and update Bills of Materials (BOMs) within the company's ERP system. Create and maintain item master records, supplier information, and procurement-related data. Perform accurate data entry for procurement transactions and system updates. Review BOMs and procurement records for completeness and accuracy before processing. Prepare international shipping documentation, including: Commercial invoices Packing lists Shipping instructions Export and import documentation Other documents required for international shipments Coordinate with suppliers, freight forwarders, customs brokers, and internal departments to ensure shipping documentation is accurate and submitted within required timelines. Track inbound and outbound international shipments and assist with document management. Maintain procurement files, shipping records, and documentation in accordance with company policies and record retention requirements. Assist in resolving documentation discrepancies by communicating with internal departments and external business partners. Generate procurement reports and assist with data verification as requested. Provide general administrative support to the Import Procurement Department. Perform other duties as assigned. Qualifications Education High school diploma or GED required. Associate degree in Business Administration, Supply Chain Management, Logistics, or a related field preferred. Experience One (1) to three (3) years of administrative experience, preferably in purchasing, procurement, logistics, manufacturing, or supply chain operations. Experience with ERP systems and data entry preferred. Experience with import/export documentation is preferred but not required. Knowledge, Skills, and Abilities Strong data entry skills with exceptional attention to detail. Ability to accurately enter and maintain Bills of Materials (BOMs). Proficiency in Microsoft Office, particularly Excel, Outlook, and Word. Ability to learn and effectively use ERP and procurement software. Strong organizational and time management skills. Excellent written and verbal communication skills. Ability to manage multiple priorities while meeting deadlines. Ability to work independently and as part of a team. Basic understanding of international shipping documentation and procurement processes is preferred. Ability to maintain confidentiality and handle sensitive company information appropriately. Physical Requirements Prolonged periods of sitting and computer work. Frequent use of standard office equipment. Occasional lifting of office materials up to 20 pounds. Ability to move throughout the facility as needed to communicate with departments. Work Environment This position is primarily performed in an office environment within a manufacturing facility. The employee may occasionally visit warehouse or production areas where appropriate personal protective equipment (PPE) may be required.
