As our project and customer needs continue to grow, we are seeking a dependable, organized, and detail-oriented Purchasing Coordinator to support purchasing activities, vendor communication, material tracking, and day-to-day project operations. Position Overview The Purchasing Coordinator plays an important role in ensuring flooring materials, installation supplies, and project-specific products are ordered accurately and available when needed. This position supports the purchasing process from initial material request through delivery, including preparing purchase orders, communicating with vendors, checking product availability, tracking shipments, maintaining purchasing records, and helping resolve order discrepancies. The Purchasing Coordinator works closely with sales, installation, and operations teams to help keep customer orders and projects organized and on schedule. The ideal candidate is organized, dependable, comfortable managing multiple orders, and able to communicate professionally with vendors and internal team members. Previous purchasing or flooring experience is helpful but not required; training will be provided for the right candidate. Key Responsibilities Coordinate purchasing of flooring materials, installation supplies, and project-related products Prepare, process, update, and maintain purchase orders Review material requests for product details, quantities, specifications, and required delivery dates Request pricing, availability, lead times, and product information from vendors and manufacturers Coordinate orders for carpet, hardwood, luxury vinyl, laminate, tile, and related installation materials Track open purchase orders from initial placement through delivery Follow up with vendors regarding backorders, delayed shipments, substitutions, and product availability Coordinate material requirements with sales, installation, and operations teams Help ensure materials are available according to scheduled installation dates and project requirements Assist with special-order and customer-specific products Maintain accurate vendor information, order confirmations, invoices, receipts, and purchasing records Verify received materials against purchase orders and delivery documentation Identify shortages, damaged products, incorrect items, and quantity discrepancies Work with vendors to help resolve routine purchasing and delivery issues Compare vendor pricing and purchasing options when requested Monitor commonly used products and installation supplies and help identify replenishment needs Support inventory organization and routine material counts Maintain organized electronic and physical purchasing documentation Communicate material shortages or extended lead times that may affect project schedules Maintain professional relationships with manufacturers, suppliers, and vendor representatives Support efforts to improve purchasing accuracy, material availability, and overall order efficiency Assist with additional purchasing, inventory, and operational responsibilities as needed Qualifications High school diploma or equivalent required; additional education is a plus Previous experience in purchasing, procurement support, flooring, construction, inventory, retail operations, or administrative coordination is preferred but not required Strong organizational skills and attention to detail Ability to manage multiple purchase orders, material requests, and deadlines Strong written and verbal communication skills Comfortable communicating professionally with vendors and internal teams Ability to review product information, quantities, pricing, and purchasing documentation accurately Comfortable using email, spreadsheets, digital documents, and business software Strong follow-through and ability to track orders through completion Good problem-solving and time-management skills Ability to adapt to changing customer and project requirements Familiarity with flooring or construction materials is helpful but not required Ability to work independently while collaborating effectively with sales, installation, and operations teams Willingness to learn flooring products, suppliers, and company purchasing procedures What We Offer Competitive compensation Full-time employment opportunity Training and support for purchasing and product procedures Professional and team-oriented work environment Hands-on experience with purchasing, inventory, and flooring operations Opportunities to develop procurement and vendor-management skills Exposure to residential and commercial flooring projects Opportunities for professional growth and additional responsibilities Why Join Heritage Floors?
