This is not a basic data-entry position. Our Order Management & Purchasing Specialist
- Commercial Furniture plays a critical role in ensuring that commercial furniture projects move accurately from approved proposal and purchase order through manufacturer order placement, acknowledgment, delivery, installation, and closeout.
The right candidate enjoys detailed work, understands the importance of accuracy, and is comfortable managing multiple orders and deadlines simultaneously. You should be someone who naturally double-checks your work, follows through on outstanding items, notices discrepancies, and takes ownership of getting things right. Experience with ERP, order-management, purchasing, or similar business systems is required. Commercial furniture industry experience is strongly preferred but not required for a candidate with solid experience managing complex product orders.
What You'll Do:
As an Order Management & Purchasing Specialist
- Commercial Furniture, you will work closely with our sales, design, project management, procurement, accounting, and operations teams to ensure customer orders are entered, processed, tracked, and documented accurately.
Responsibilities include:
Enter and process commercial furniture orders using our ERP/order-management system. Review customer purchase orders, proposals, specifications, and supporting documentation before order entry. Verify model numbers, quantities, pricing, discounts, finishes, options, freight, installation charges, ship-to information, and other order details. Submit purchase orders to furniture manufacturers and vendors. Review manufacturer acknowledgments against original purchase orders and identify discrepancies before orders enter production. Maintain accurate order records, documentation, notes, and status information within the ERP system. Track manufacturer lead times, estimated ship dates, backorders, and order changes. Communicate with manufacturers and vendor representatives regarding acknowledgments, discrepancies, revisions, availability, and shipping information. Coordinate internally with project managers, designers, accounting, warehouse/installation personnel, and company leadership. Process order revisions, change orders, cancellations, and other updates accurately and promptly. Assist with freight tracking, receiving coordination, invoicing documentation, and project closeout as needed. Maintain organized electronic project and order documentation. Proactively follow up on outstanding information rather than waiting for others to identify problems. Help ensure orders are complete and accurate before they reach the customer or jobsite. What We're Looking ForRequired Qualifications Previous experience with an ERP, purchasing, order-management, inventory-management, or comparable business system . Previous professional experience involving order processing, purchasing, procurement, sales support, project administration, or another detail-intensive operational role. Strong computer skills, including Microsoft Office and Excel. Excellent attention to detail and commitment to accuracy. Ability to review detailed information and identify inconsistencies or errors. Strong organizational and time-management skills. Ability to manage multiple active orders, projects, priorities, and deadlines simultaneously. Professional written and verbal communication skills. Ability to work independently while also collaborating closely with a team. Demonstrated dependability, follow-through, and personal accountability. Preferred Qualifications Experience in any of the following is especially valuable: Commercial furniture dealership or manufacturer Contract furniture Architecture or interior design Wholesale distribution Purchasing or procurement Project coordination Logistics or supply-chain operations Experience with commercial furniture software, ERP platforms, or manufacturer ordering systems is a plus.
