Purchasing, Receiving, and Distribution Specialist - Full-time
Job Description
JOB SUMMARY
The Materials Management Purchasing, Receiving and Distribution Specialist purchases, receives, stores, and distributes supplies throughout Hemphill County Hospital District. This position tracks orders, resolves discrepancies, maintains accurate records, and helps ensure departments have the supplies they need.
MAJOR RESPONSIBILITIES
Key Responsibilities:
Purchasing:
Prepare purchase orders and support documentation in accordance with district policies. Respond to staff questions about orders and communicate purchase order information to suppliers. Track order status and expected delivery dates. Work with vendors to resolve order issues and assist with vendor evaluations, RFP's and capital purchases as directed. Maintain purchasing records and reports.
Receiving:
Accepts deliveries and compare shipments with purchase orders, packing slips, and other receiving documents. Inspects shipments for damage, shortages, excess quantities, incorrect items, and other discrepancies. Record receipts accurately in district systems and retain required documentation. Notify the appropriate department or vendor of discrepancies and coordinate corrections, returns, replacements, or credits. Identify and promptly route urgent or department-specific deliveries to the intended recipient. Label and place accepted supplies in their designated storage locations, follow applicable storage and safety requirements. Inventory and Distribution Maintain clean, organized, and safe supply storage areas. Monitor Inventory levels and report shortages or discrepancies. Assist with inventory counts, audits, and inventory control processes. Pick and deliver supplies and equipment to departments in a timely manner.

Required Skills, Knowledge, and Abilities Proficient in use of oral and written English language; Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; ability to write routine reports and correspondence; Organized work habits, accuracy, and proven attention to detail with strong analytical skills; Ability to recommend and implement changes to processes for efficiency; Self-directed with the ability to work at times with little or no supervision; Flexible and cooperative in fulfilling all assigned obligations as requested and on time; Ability to work with others as a team member, provide assistance as needed, and contribute individually; Ability, flexibility, and willingness to learn and grow professionally as the department changes; Dependable transportation; current Texas driver license and clean DMV record
