US Citizens or green card holders only- no sponsorship available Hawkins Glass seeks a highly motivated, versatile, intellectually curious, and passionate in-office Procurement Coordinator located in Lorton, VA. The ideal candidate will have experience in purchasing in a manufacturing environment to order for DOD contracts, including FAR and DFARS flow downs, special requirements, and performance work statements. The custom, build‑to‑contract nature of our work requires close collaboration with Engineering and Process Control to manage complex part procurement. This is a performance‑driven role with clear expectations around accuracy, responsiveness, and schedule reliability; it is not a data‑entry position. Two key characteristics we are looking for are a strong work ethic with the ability to wear multiple hats in a small business environment. A candidate who can communicate with vendors to procure necessary goods related to production and manufacturing. A candidate that excels in coordinating receiving times lines with vendors to the production floor to ensure parts arrive just in time. The ideal candidate will be capable of completing various tasks for the management team as we take on new projects, manage stress, and make informed decisions in an environment with constantly moving priorities. A Procurement Coordinator should be able to monitor vendor relations, research potential new vendors, track orders, and update order records within the quality management system used. They would be responsible for procuring and planning all direct and indirect purchasing duties to support current and upcoming projects. They aim to ensure that procurement activity results in cost-effective purchases, ensure inventory is stocked for production, maintain accurate records, and prioritize optimizing the procurement process. Working closely with the management team to coordinate promise dates and production start dates consistently. Candidates with prior experience in transparent armor processes or materials will be strongly advantaged in this position. Experience in purchasing for DoD contracts is also preferred.
Job Duties:
- Maintain vendor relations, including tracking timelines and following up when necessary to ensure on-time delivery. Custom, Build-to-Print, contract-specific products require tight scheduling and proactive coordination to ensure on-time delivery and manage lead times.
- Maintain procurement records within internal databases with order details.
- Maintain and use information in Materials Requirements Planning (MRP) systems to determine material needs for all raw materials and packaging materials.
- Create and expedite purchase orders within the CostPoint system and update them as needed to reflect pricing and quantity changes.
- Research potential new vendors and market pricing to ensure cost-efficient purchases are made. This includes evaluating multiple pricing offers with various vendors and negotiating with vendors as needed.
- Track Orders and ensure timely delivery to meet production needs.
- Monitor stock levels and identify purchasing needs for consumables and produce routing reports tracking inventory items.
- File claims and ensure non-confirming material procedures are followed.
- Review the backlog report and coordinate any necessary items with the supplier.
- Ensure that purchase costs are reasonable and accurately recorded and that receiving, inventory, and shipping procedures are in accordance with the needs of accounting procedures and sound financial practices.
- Assures awareness of excess inventory conditions and materials requiring inordinately long lead times.

- Preferred bachelor's degree in business or related fields, or the equivalent of 5 years in a role for various aspects of purchasing with logistics planning in a manufacturing environment.
Well-developed written and verbal communication, listening, and presentation skills. Must have excellent organizational skills & attention to detail. Must have excellent oral and written communication skills. Ability to prioritize tasks and meet deadlines. Proficiency in relevant software such as MS Office and advanced Excel.
