Job Description
About the Role Triumph Systems is looking for a highly capable, hands-on Operations Manager to help us run and professionalize the day-to-day operations of our growing company. This is a broad role by design. We're looking for someone who is equally comfortable solving a business problem, learning a new software system, working through a spreadsheet, processing customer orders, troubleshooting a printer, organizing company records, or stepping into the warehouse to help get an important shipment out the door. This role could be a strong fit whether you're building momentum early in a career or bringing decades of experience and simply want meaningful, active work without the politics of a large organization. What matters more than where you've been is whether you want to be hands-on, own real responsibility, and grow the scope of the job over time. The right person will work directly with our CEO and CFO and have an opportunity to assume substantial responsibility as the Company grows. For an exceptional performer, this position offers a path into senior operational leadership and potentially the role of Chief Operating Officer. Why We're Hiring Now Triumph Systems is entering an important stage of growth. We recently secured a major new account with a nationwide retailer that will significantly increase our order volume and operational complexity. At the same time, the business as a whole has reached a point where many of the informal processes that worked for a smaller company need to become more organized, documented, and scalable. That's the reason we're making this hire. We need to professionalize our operations without losing the flexibility and willingness to jump in that comes with being a small company. That means better systems, clearer procedures, stronger organization, better delegation, and greater ownership throughout the team. This role will be central to making that happen. The Initial Mission Triumph Systems has reached a point where many of the operational processes that developed organically as the Company grew now need dedicated ownership and a more formal structure. The first mission of the Operations Manager is to learn how we operate, become independently capable of handling our core day-to-day processes, and take increasing ownership of the Company's operations. That will require getting into the details. You'll initially work closely alongside the CEO, CFO, and other team members to understand how the business operates, learn existing processes, and take responsibility for recurring operational work. Some of that work is interesting and challenging. Some of it is repetitive. Both matter. Once you understand the operation, the mission becomes bigger. We don't simply want someone to inherit our existing processes. We want someone who will help us build better ones — documenting procedures, improving workflows, establishing clearer ownership, developing the team, identifying gaps, and creating an operating structure capable of supporting a larger company. The goal is for the Operations Manager to become increasingly independent and ultimately take broad ownership of the Company's day-to-day operations. What You'll Actually Do No two weeks will look exactly the same, but responsibilities will include: Take ownership of recurring operational processes and make sure work is completed accurately and on time Manage important customer order workflows, including retailer purchase orders, EDI transactions, ASNs, shipping documentation, carton labels, invoicing, and exception resolution Build better systems for tracking open orders, outstanding tasks, deadlines, and follow-up items Learn processes that currently live largely in people's heads and turn them into clear, documented procedures Identify inefficient or overly manual processes and develop practical improvements Professionalize basic office processes including filing, record retention, shared files, document organization, and administrative workflows Coordinate recurring business requirements such as insurance renewals, vendor documentation, compliance requirements, and other administrative matters Work across purchasing, inventory, logistics, accounting, customer service, and general business administration Help with routine office technology needs, including printers, workstations, shared network resources, software access, and basic troubleshooting Work directly with administrative and warehouse team members to improve processes, training, organization, and accountability Assist directly with warehouse and fulfillment work when needed Take increasing ownership of operational problems so fewer issues require CEO or CFO involvement Help build the processes, procedures, and organizational structure Triumph Systems will need as we continue to grow The Team You'll Work With We're a small team, and that matters to understanding this job. You'll work alongside a loyal part-time administrative team member who is highly reliable with established processes and will benefit from clearer systems, documentation, and training. You'll also work closely with a capable team member who primarily supports our warehouse operations but is continuing to develop his office and operational skills. As we grow, we expect him to take on more responsibilities beyond the warehouse and provide increasing support across the office and broader operations. Part of your responsibility will be helping both employees grow. Especially during your first several months, this will not be management from a distance. You'll work side-by-side with the team, learn what they do, help them when necessary, establish better processes around their work, and gradually help them become more capable and independent. The same philosophy applies throughout
