Position Summary RealManage is seeking an accomplished and strategic Vice President of Operations to provide executive leadership across a portfolio of community associations and operational teams. This position is responsible for driving operational excellence, client satisfaction, financial performance, employee engagement, and sustainable growth while ensuring that RealManage consistently delivers an exceptional experience to the communities we serve. The Vice President of Operations will lead and develop operational leaders, strengthen relationships with Boards of Directors and community stakeholders, establish accountability for key performance metrics, and ensure consistent execution of RealManage standards and The RM Way . This leader will combine strategic thinking with hands-on operational leadership and will be expected to identify opportunities, remove barriers, develop high-performing teams, and continuously improve the way we serve our clients. Key Responsibilities Strategic & Operational Leadership Provide executive leadership and direction for assigned markets, branches, or portfolios of community associations. Develop and execute operating strategies aligned with RealManage's organizational goals and long-term growth objectives. Translate company priorities into measurable operating plans, goals, and performance expectations. Establish consistent operating standards and ensure disciplined execution throughout the organization. Identify opportunities to improve efficiency, scalability, service delivery, and profitability. Use operational and financial data to identify trends, address performance gaps, and make informed business decisions. Lead organizational change initiatives and ensure successful implementation across assigned operations. Client & Board Relationships Build and maintain strong executive-level relationships with Boards of Directors, community leaders, developers, and key clients. Serve as an escalation point for significant client, operational, or service concerns. Partner with operational teams to proactively identify risks to client satisfaction and retention. Ensure communities receive responsive, professional, and solution-oriented service consistent with The RM Way . Participate in important Board meetings, client presentations, business reviews, and strategic discussions as needed. Develop strategies that strengthen client retention, loyalty, and long-term partnerships. Financial Performance Maintain accountability for the financial performance of assigned operations, including revenue, profitability, expense management, staffing, and budget performance. Develop and manage annual operating plans and budgets. Review financial statements, forecasts, and key performance indicators to identify opportunities and risks. Partner with Finance and Accounting to ensure accurate forecasting and strong financial controls. Develop corrective action plans for operations that are not meeting financial or performance expectations. Balance financial performance with service excellence, employee engagement, and sustainable growth. Team Leadership & Development Lead, coach, and develop Regional Leaders, Directors, Community Association Managers, and other operational leaders. Build a strong leadership pipeline through succession planning, talent development, and internal advancement. Establish clear expectations and hold leaders accountable for measurable results. Foster a culture of collaboration, accountability, continuous improvement, and high performance. Partner with Talent Acquisition and Human Resources to recruit, retain, and develop exceptional talent. Regularly evaluate organizational structure, staffing levels, and leadership capabilities to ensure operational needs are met. Recognize strong performance and address performance concerns promptly and constructively. Operational Excellence Ensure operational practices comply with governing documents, applicable laws, regulatory requirements, company policies, and industry standards. Standardize best practices across communities, portfolios, and operational teams. Monitor key operational metrics, including client retention, employee retention, portfolio performance, staffing, financial results, responsiveness, and service quality. Drive adoption of technology, tools, processes, and systems that improve efficiency and the customer experience. Identify recurring operational challenges and implement sustainable solutions. Promote consistent processes while allowing appropriate flexibility to meet the unique needs of individual communities. Growth & Business Development Partner with Business Development and executive leadership to support organic growth and new client acquisition. Participate in prospective client presentations, finalist meetings, and strategic sales opportunities. Support successful onboarding and transition of new communities. Identify opportunities to expand services within existing client relationships. Develop strong market awareness and maintain relationships within the community association management industry. Ensure operational capacity and leadership infrastructure support continued organizational growth. Risk Management & Compliance Proactively identify operational, financial, legal, staffing, and client-retention risks. Work collaboratively with Legal, Human Resources, Finance, Accounting, and other support functions to resolve complex issues. Ensure appropriate escalation and resolution of significant client and operational concerns. Maintain high standards of ethics, professionalism, confidentiality, and regulatory compliance. Highly effective ability to manage Directors of Community Association Management, Community Association Managers, and Assistant Community Association Managers Highly effective ability to build and lead a team of professionals in terms of recruiting, hiring, training, managing, developing, coaching, and releasing employees as necessary Highly effective ability to manage a large, complex portfolio of communities Ability to manage the RealManage transition process to onboard new community association clients and closely coordinate with our Client Services Group and the client community during the set-up process Minimum 3-5 years property management /community management experience in addition to other professional work experiences demonstrating leadership capabilities Developer portfolio experience Familiar with vendor management, construction, and maintenance issues Understanding of Community Association business and financial statements Ability to motivate, cultivate, and negotiate with committees Professional verbal and written communication skills
Strong Computer Skills:
Word, Excel, Outlook, and Database applications Strong organizational and time management skills High integrity, honesty, and professionalism Exceptionally strong customer service orientation Certification preferred - CMCA Physical Requirements Ability to sit for prolonged periods at a desk and work on a computer. Ability to occasionally stand, walk, bend, or reach as needed. Ability to lift or move objects up to 10-15 pounds (e.g., files, office supplies). Manual dexterity to operate a computer keyboard, mouse, telephone, and other office equipment. Visual acuity to read printed materials, spreadsheets, and computer screens. Hearing and speech ability to communicate effectively in person, by phone, and in virtual meetings. Ability to work in a standard office environment with moderate noise levels. Ability to work a standard schedule, with occasional extended hours as required. Pay and Benefits $115,000 to $130,000 per year, depending on education and experience.
