We streamline the medical-legal journey for physicians, insurance carriers, attorneys, and injured workers. By handling complex scheduling, medical records review, intake, dictation, quality assurance, and billing, MEM empowers medical experts to focus on clinical evaluation and objective report writing. Our organization is built on an uncompromising foundation of service excellence, rapid turnaround times, and report quality. As we rapidly expand our footprint across California, we are seeking an operational leader to scale our infrastructure and drive execution. Executive Role Overview The Chief Operating Officer (COO) is an execution-focused executive tasked with leading, scaling, and refining MEM's day-to-day operations. This is not a high-level advisory role. We are seeking a driven self-starter who is ready to roll up their sleeves, get into the weeds of daily operations, and fix friction points firsthand . You will oversee end-to-end service delivery—from scheduling and intake to record summaries, dictation workflow, quality assurance editing, and billing/collections. The ideal candidate possesses deep operational grit, an relentless focus on report accuracy and client service, and the ability to build scalable systems in a fast-paced, high-growth environment. Key Responsibilities1.
Operational Execution & Workflow Optimization Hands-On Leadership:
Daily oversight of operational leads, including Operations Managers, Quality Assurance Analysts, Scheduling Coordinators, and Medical Assistants.
Process Standardization:
Audit and refine current end-to-end workflows (intake, record processing, appointment logistics, report transcription/editing, billing submission) to eliminate bottlenecks and optimize throughput.
Turnaround Time Acceleration:
Monitor and maintain strict KPIs for report turnaround times, ensuring compliance with California Division of Workers' Compensation (DWC) statutory deadlines and private client service level agreements (SLAs). 2. Service Quality & Quality Assurance (QA)
Oversight Quality Assurance Excellence:
Establish robust quality control mechanisms so that every evaluation report issued through MEM meets the highest standards of legal-medical integrity and defensibility.
Client & Doctor Experience:
Serve as the executive escalation point for physician partners and legal/insurance stakeholders, ensuring world-class service, high retention, and trust.
Compliance & Legal Integrity:
Ensure strict adherence to California workers' compensation laws, and state-mandated evaluation guidelines. 3.
Scaling & Organizational Growth Capacity Planning:
Partner with physician recruitment and client development teams to ensure operational capacity seamlessly matches network expansion into new regions and specialties.
Technology & Tools:
Evaluate, implement, and optimize technology solutions (DMS, CRM, automated scheduling, secure file transfers) to increase operational leverage and reduce manual errors.
Team Building:
Recruit, mentor, and build a high-accountability operational team aligned with MEM's culture of service and precision. 4.
Metrics & Performance Management KPI Framework:
Implement and track executive dashboards measuring operational efficiency, report accuracy rate, client satisfaction score, capacity utilization, and billing cycle velocity.
Cross-Functional Synergy:
Work directly with CEO and Finance to align operational throughput with organizational revenue goals.
Required Qualifications & Experience Proven Executive Leadership:
8+ years of operational management experience, with at least 3+ years in a senior leadership role (COO, VP of Operations, or Director of Operations).
Industry Domain Expertise:
Strong familiarity with the California Workers' Compensation system, QME/AME rules, or Independent Medical Evaluation (IME) administrative processes is strongly preferred.
Hands-On Mentality:
Demonstrated track record as a self-starter who actively engages in daily operations, troubleshoots workflows directly, and leads by example.
Process & Systems Architecture:
Expertise in workflow mapping, standard operating procedure (SOP) development, and technology-driven efficiency implementation.
Quality & Detail Obsession:
Unyielding commitment to report accuracy, formatting standards, and regulatory compliance.
Communication & People Management:
