The Contract Coordinator supports the day-to-day contractual, compliance, and administrative functions of the Booking Department, helping ensure event and venue agreements are accurately prepared, routed, executed, tracked, and maintained. The position is responsible for contract administration, document and deposit tracking, insurance compliance, agreement management, internal coordination, and other departmental administrative functions.Examples of work performed:
Drafts, routes, distributes, tracks execution, and archives event and venue contracts and related agreements. Tracks outstanding contracts, deposits, insurance, and other required event documentation and follows up as needed. Manages venue agreements, amendments, location agreements, and other contractual documentation. Coordinates Certificate of Insurance (COI) collection and compliance tracking. Maintains contract status reports, databases, tracking systems, and related documentation. Coordinates with Legal, Finance, Operations, and other internal departments regarding contract requirements and documentation. Provides administrative oversight of office supplies, hospitality inventory, and departmental purchasing. Supports event settlement administration as needed. Provides general administrative support for the Booking Department as needed. Performs other duties as assigned. Typical Office Conditions Ability to work a flexible schedule as business needs require, including evenings, weekends, holidays, and event days. Ability to work extended hours during periods of high event volume as needed.Qualifications:
Minimum High school diploma or GED required. 2+ years of relevant experience in contract administration, live entertainment, venue operations, event management, business administration, or a related field. Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines. Proficiency with Microsoft Office, including Excel, Outlook, and Word. Strong written and verbal communication skills. Applicants must meet minimum qualifications at the time of hire. Preferred Bachelor's degree in business, Entertainment Management, Hospitality, Communications, Legal Studies, or a related field. Previous experience working with contracts, agreements, or related documentation in a venue, live entertainment, legal, or business environment. Experience with contract management, document tracking, insurance/COI requirements, or related administrative processes.Competencies/Knowledge, Skills & Abilities:

Ability to manage and maintain detailed contracts, records, databases, and documentation. Strong follow-through and ability to proactively identify and address outstanding documentation and administrative needs. Ability to review detailed contractual and financial documentation for accuracy and completeness. Proficiency with Microsoft Office, including Outlook, Excel, and Word.Compensation:
