ASAP Position Overview Kelly Services is seeking a highly organized and detail-oriented Asset Management Assistant to support the Asset Management team. This role will be primarily responsible for reviewing vendor invoices, validating service reports, tracking property-related violations, and maintaining accurate reporting for approximately 2,000 properties. The ideal candidate will have strong Excel skills, excellent attention to detail, solid basic math skills, and the ability to identify discrepancies and patterns in large amounts of data. This position is heavily focused on invoicing, reporting, data comparison, and administrative support . Key Responsibilities Review vendor invoices for accuracy and compare invoice details against information in internal systems. Research discrepancies by reviewing invoices and supporting documentation line by line. Review vendor service reports to ensure services were completed and documentation meets CCLBA requirements. Verify that required before-and-after photos and other supporting documentation are included in service reports. Track property preservation violations and maintain detailed Excel spreadsheets. Review violations and determine appropriate vendor chargebacks. Incorporate fines and chargebacks into monthly vendor invoice reviews. Follow up with vendors regarding outstanding violations, discrepancies, and required corrections. Process service cancellation notices when properties are sold or no longer require services. Monitor properties entering and leaving the portfolio and ensure property status, including vacant status, is properly documented and updated. Perform monthly property research, including reviewing Redfin to identify properties that have sold and documenting sale prices. Prepare, maintain, and update Excel reports used for property and vendor tracking. Run Excel reports, formulas, comparisons, and other basic data analysis. Provide general administrative support to the Asset Management team as needed. Qualifications High school diploma required; Associate's degree preferred. Minimum of 2 years of administrative, data-entry, accounting, property management, or related experience preferred. Strong proficiency in Microsoft Excel, including formulas, sorting/filtering, spreadsheets, and data comparisons. Proficiency with Microsoft Office, particularly Outlook and Excel. Strong attention to detail and accuracy. Comfortable working with numbers and performing basic mathematical calculations. Strong ability to recognize discrepancies, trends, and patterns in data. Excellent organizational and time-management skills. Ability to manage multiple priorities and meet deadlines. Strong written and verbal communication skills. Ability to work independently while also collaborating effectively with a team. Professional demeanor and strong follow-up skills. Ideal Candidate The ideal candidate is a detail-oriented, analytical, and organized professional who enjoys working with spreadsheets, reviewing documentation, and identifying discrepancies. They should be comfortable handling repetitive but important tasks with a high degree of accuracy and be able to follow issues through to resolution. Experience with invoicing, accounts payable, property management, real estate administration, vendor management, compliance tracking, or data analysis is highly desirable.
