$90,000-$100,000 Base Salary Position Summary We are seeking a Contracts Assistant / Coordinator to support cradle-to-grave contract administration for commercial and government aerospace manufacturing programs . This position supports the management of prime contracts and subcontracts, regulatory compliance activities, proposal development, and coordination across Operations, Program Management, Engineering, Supply Chain, and Finance. The ideal candidate is a self-starter who can work independently, manage multiple priorities, and support both strategic contract negotiations and day-to-day contract execution within a small to mid-sized aerospace manufacturing environment. Key Responsibilities Contract Management Assist in reviewing customer contracts, NDAs, teaming agreements, and purchase order terms and conditions. Support the drafting of straightforward contract documents, revisions, and related documentation under supervision. Independently conduct initial reviews of contractual terms and conditions and summarize key provisions, risks, or potential issues for senior staff. Assist in preparing and routing contract modifications, change orders, and amendments for approval. Maintain organized and compliant contract files. Coordinate documentation updates and contribute to audit readiness by ensuring records are accurate, complete, and accessible. Monitor and update customer e-commerce portals and the internal ERP system to support order processing, internal workflows, and reporting requirements. Support contract closeout by reviewing documentation for completeness, updating ERP and customer portal records, and preparing files for final archival. Government & Regulatory Compliance Assist with verifying compliance with applicable regulations, including: Federal Acquisition Regulation (FAR) Defense Federal Acquisition Regulation Supplement (DFARS) International Traffic in Arms Regulations (ITAR) Other applicable federal regulations Support the preparation and distribution of contractual flow-down requirements to suppliers. Compile and maintain export compliance documentation and associated records. Provide administrative support for internal and external audits, including gathering and organizing requested documentation. Proposal & Business Development Support Assist in reviewing RFP and RFQ requirements and preparing proposal documentation under the guidance of senior staff. Support the development of RFP/proposal compliance matrices and risk assessments. Coordinate pricing reviews with Finance. Support senior staff during contract negotiations with government agencies and commercial aerospace customers. Prepare negotiation materials, take detailed notes, and track follow-up items and required actions. Cross-Functional Program Support Partner with Program Management to monitor contract performance and funding status. Utilize customer portals, ERP systems, and internal software tools to input data, maintain records, and track: Deliverables Contract milestones Funding Payment terms Other contractual requirements Identify potential scope changes and escalate them to appropriate senior staff. Support the documentation of contract and scope changes under the guidance of Program Management or Contracts. Assist with contract closeout activities and final documentation. Required Qualifications Bachelor's degree in Business, Finance, Supply Chain , or a related field. 3-7 years of contract administration experience , preferably within aerospace or defense. Familiarity with FAR-based contracts and agreements . Basic understanding of FAR and applicable supplements, including DFARS. Exposure to fixed-price and cost-reimbursable contracts through professional experience, internships, or relevant coursework. Strong organizational skills with the ability to manage multiple contracts, priorities, and deadlines simultaneously.Proficiency with:
Microsoft Excel Microsoft Office Suite ERP systems Preferred Qualifications Experience working within a manufacturing environment . Familiarity with Department of Defense (DoD) or NASA contracts . Experience with subcontract administration and supplier flow-down requirements . NCMA certification, including CFCM or CCCM , or currently working toward certification. Eligibility to obtain a security clearance, if required. Key Competencies Ability to make routine decisions independently while recognizing when senior-level guidance is required. Ability to identify potential contractual risks and clearly communicate them to senior team members for review and mitigation. Ability to support risk mitigation efforts through documentation, system updates, and internal communication. Ability to support contract negotiations through preparation, detailed note-taking, action-item tracking, and professional customer communication. Strong attention to detail and documentation skills. Ability to translate contractual and legal language into clear, practical operational guidance. Strong cross-functional communication and collaboration skills.
