The Role:

The Service Contract Planned Maintenance Coordinator is responsible for ensuring the effective scheduling and execution of preventive maintenance (PM) activities across service contracts. This role involves coordinating PM periods for new and renewed contracts with Branch and Dispatch divisions, maintaining PM schedules for active contracts, and releasing PMs on a monthly basis. The coordinator regularly reviews contract execution reports, releases contracts when appropriate, and collaborates with Legal, Branch, and Dispatch teams to resolve issues related to blocked or unreleased contracts.

Key Responsibilities:
PM Period Coordination:

Coordinate PM periods for new and renewed service contracts with Branch and Dispatch divisions

Review and maintain PM periods for unblocked contracts

Ensure timely scheduling and execution of preventive maintenance activities

Contract Execution Management:

Review contract execution reports regularly

Release contracts when appropriate

Investigate and resolve issues with Legal, Branch and Dispatch divisions related to blocked or unreleased contracts

Contract Lifecycle Management:

Process pre-cancellations and cancellations of service contracts

Communicate with branch and dispatch divisions regarding contract status changes

PM Release and Monitoring:

Release PMs monthly

Track and report on PM completion rates and any delays or issues

Ad Hoc Tasks:

Perform additional tasks on an as-needed basis to support the service contract team and overall department goals

What You Will Need:

Bachelor's degree in Business Administration, Operations Management, or related field

2+ years of experience in contract management or service coordination

Strong organizational and time management skills

Excellent attention to detail and ability to manage multiple priorities

Proficiency in Microsoft Office Suite and contract management software

Strong communication skills, both written and verbal

Ability to work independently and as part of a team

Preferred Skills:

Experience in the service industry or with preventive maintenance programs

Knowledge of service level agreements
