Job Description
Job Summary Epic Management, Inc. is seeking a dependable, organized, and detail-oriented Office Administrator to support our construction operations team. This position will primarily assist with bid documentation, subcontract paperwork, contract administration, document tracking, and general office support . As the employee becomes familiar with Epic's operations, responsibilities may expand into additional project, accounting, compliance, or administrative functions based on the needs of the company. This is a good opportunity for someone who enjoys staying organized, keeping paperwork moving, following up with multiple people, and supporting a busy construction environment. Responsibilities Assist with preparing and organizing bid and proposal packages. Track bid requirements, deadlines, addenda, forms, and supporting documentation. Coordinate signatures and approvals for bids, contracts, and related documents. Prepare and process subcontract agreements and supporting paperwork. Track outstanding subcontractor documentation and follow up as needed. Collect and maintain certificates of insurance, W-9s, bonds, vendor information, and other required documents. Maintain organized electronic and physical bid, contract, subcontract, and project files. Assist with project startup and closeout documentation. Prepare correspondence, spreadsheets, reports, forms, and other business documents. Scan, upload, organize, distribute, and maintain construction-related documentation. Communicate professionally with subcontractors, vendors, project managers, and other members of the Epic team. Assist project executives, project managers, accounting personnel, and management with administrative needs. Help coordinate document signatures, deliveries, mailings, and electronic submissions. Perform general office and administrative duties as needed. Take on additional administrative or operational responsibilities as experience and knowledge of the company grow. Qualifications Prior administrative or office experience preferred. Experience with a construction company, contractor, engineering firm, architecture firm, or similar environment is a plus. Experience with bids, proposals, contracts, subcontracts, or construction documentation is preferred but not required. Strong organizational skills and attention to detail. Ability to manage multiple assignments and deadlines. Strong written and verbal communication skills. Professional and comfortable communicating by phone and email. Working knowledge of Microsoft Outlook, Word, and Excel. Ability to learn new software, company systems, and construction terminology. Ability to maintain confidential and sensitive business information. Dependable, accurate, and willing to follow through on outstanding items. This is a nonexempt position .
