A Contracts Administrator reviews and manages business contracts for a company or organization. Reviews proposed contract terms and conditions, and communicates and negotiates with clients; confirms that contract terms have been met before a contract is closed out. Oversees the administration of contracts for equipment and supplies; may also deal with surplus or unclaimed property.
Job Summary This individual will manage the administrative backbone of the Land Department, ensuring lease obligations, rental and bonus payments, and ownership records are accurate and current. This position involves tracking lease terms and expirations, processing payments to mineral and royalty owners, maintaining contract files, and supporting audits and acquisitions/divestitures. The ideal candidate has 3 or more years of land administration experience in upstream oil and gas, with strong organizational skills and a working knowledge of the Marcellus/Utica region.
Track lease terms, primary term expirations, delay rentals, shut-in provisions, and other obligations, ensuring timely notice to the land team to prevent lease lapses.
Payment Processing :
Process delay rental, bonus, damage, and right-of-way payments to mineral owners and landowners. Coordinate with accounting to ensure timely and accurate disbursement.
Contract & Document Administration :
Maintain organized lease, right-of-way, and contract files, including scanning, indexing, and filing executed agreements in company land systems (e.g., Quorum, P2, iLandman).
Ownership Record Maintenance :
Update ownership records to reflect assignments, name changes, probates, and other conveyances, working closely with title and division order teams to keep records current.
Audit & Compliance Support :
Support internal and third-party audits by compiling lease and payment documentation. Assist with regulatory filings and recordkeeping required for compliance with state and county requirements.
Acquisition & Divestiture Support :
Assist with land data room preparation, due diligence, and file transfer during acquisitions and divestitures.
Qualifications Education :
Bachelor's degree in Business, Land Management, or a related field, or equivalent land administration experience.
Experience :
3 or more years of land administration experience with an upstream oil and gas operator, preferably in the Marcellus/Utica Shale region. Experience with lease obligation tracking and owner payments required. Technical Skills ◦ Proficiency with land management software and Microsoft Office Suite ◦ Familiarity with oil and gas leases and common contracts, division orders, and payment processes. Soft Skills ◦ Highly organized with strong attention to detail and follow-through. ◦ Ability to manage competing deadlines across multiple leases and projects. ◦ Effective communicator with landowners, accounting, and internal land teams. Other Requirements ◦ Ability to work in an office setting Preferred Qualifications Experience working with operators in the Appalachian Basin. Knowledge of Pennsylvania lease and recording requirements. Prior experience working with land databases
Pay:
$80,000.00 - $111,000.00 per year
