Job Description

Description We are seeking a Mazda Warranty Administrator to ensure the accuracy, compliance, and efficiency of all warranty-related processes. This role is responsible for managing the complete warranty lifecycle, from repair order booking to claim submission, reconciliation, and reporting, in strict accordance with Mazda and company policies. The ideal candidate is highly organized, detail-oriented, and excels in a fast-paced environment. This is a vital position that supports dealership operations and maintains manufacturer compliance across multiple departments. Key Responsibilities
  • Review and book repair orders in compliance of Mazda Policy and Procedure
  • Processes all warranty claims promptly and with accuracy
  • Processes all warranty paperwork to ensure proper documentation
  • Verifies criteria required by manufacturer
  • Reconciles all warranty receivables through the appropriate accounting schedule
  • Posts credits
  • Resubmits all rejected claims promptly
  • Review all warranty receivable schedules to ensure timely payment
  • Follows up on payment of outstanding claims
  • Keeps informed of all factory recalls and bulletins
  • Assists with any clerical needs as directed by the senior manager or the fixed operations manager
  • Maintains a professional appearance and a neat work area
  • Performs other duties as assigned Requirements
  • Minimum 2 years of warranty administration experience in a dealership environment
  • Mazda experience is strongly preferred
  • Prior experience with CDK database systems is preferred
  • Strong knowledge of manufacturer warranty policies, procedures, and audit requirements
  • High attention to detail with the ability to manage multiple priorities and deadlines
  • Excellent communication, organization, and documentation skills
  • Proficiency in Microsoft Word, Excel, Outlook, and Teams
