RESPONSIBILITIES
Clinic Management Take ownership of clinic sales performance, staffing, and overall operational excellence while creating a fun, rewarding work environment. Collaborate with the owner to identify opportunities for improvement, growth, and innovative solutions to clinic challenges. Lead with humility by supporting, recognizing, and empowering employees through consistent feedback and opportunities for growth. Implement systems and processes to improve operational efficiency, patient experience, and team collaboration. Staffing & Employee Development Actively manage the recruitment process by gathering resumes, conducting interviews, and making hiring recommendations to the owner. Conduct monthly one-on-one reviews with staff to provide constructive feedback, establish individual goals, and address training needs. Develop individualized development plans for staff to ensure both personal and professional growth within the clinic. Foster a culture of recognition, accountability, and performance by regularly celebrating team successes and implementing strategies to improve where necessary. Ensure follow-through on all one-on-one meeting action items to promote a high level of accountability and personal ownership among staff. HR Functions Oversee annual performance evaluations for Provider and Front Desk teams, gathering data and providing actionable feedback. Assist in the performance evaluation process for other clinical staff and directors to ensure growth opportunities. Actively manage employee issues and concerns, promoting open communication, emotional safety, and resolution-based solutions. Customer Service & Patient Experience Serve as the first point of contact for customer service issues, ensuring all patient concerns are handled with care, professionalism, and prompt resolution. Continuously improve the patient experience by creating a welcoming, personalized, and exceptional environment. Lead staff in delivering a patient experience that prioritizes timeliness, kindness, and individualization at every touchpoint. Oversee the front desk conversions of prospective patients to booked appointments. Hold accountability of daily tracking of conversions and align training as needed. Maintain a conversion ratio of 70-80%+. Scheduling & Resource Management Oversee the clinic's schedule, ensuring optimal staffing levels to meet patient demand and operational goals. Serve as the primary point of contact for all sales, front desk, and aesthetic staff to address scheduling conflicts or issues. Analyze patient flow and operational needs to make informed scheduling decisions that balance staff productivity and patient satisfaction. Financial Oversight Perform nightly reconciliation reviews and ensure accurate financial reporting for payroll and clinic performance. Maintain a thorough understanding of clinic financials, identifying areas for cost management, and reporting to the executive team with transparency. Partner with leadership to review clinic budgets and implement strategies to maximize profitability while maintaining high patient satisfaction. Inventory Management Manage product inventory by communicating clinic needs to the owner, placing orders, and ensuring inventory is appropriately stocked and maintained. Regularly review product levels and usage to ensure the clinic has the supplies needed to operate efficiently and meet patient demand. Management & Staff Meetings Prepare and present monthly sales results for the clinic and individual employee performance at management meetings. Identify any staffing or operational needs, presenting them to the executive team with recommendations for improvement. Actively participate in staff meetings, ensuring alignment with the clinic's strategic goals and contributing to a collaborative team environment. Facility & Equipment Maintenance Serve as the primary point of contact for clinic repairs and maintenance, ensuring the clinic operates safely and efficiently. Oversee the regular upkeep of clinical equipment and facility resources, scheduling necessary maintenance as needed.
