Multifamily experience is extremely important for this position. We are looking for someone who understands the fast-paced nature of apartment maintenance, property management expectations, occupied-unit service, emergency calls, access issues, purchase orders, approvals, scheduling, and the level of communication required to successfully service large multifamily accounts. This is not simply a dispatcher position. We need a strong, organized manager who can take ownership of the service board, manage the dispatch team and technicians, communicate with our customers, and make sure jobs move from initial request through completion without things falling through the cracks. What You'll Be Responsible For Manage daily dispatch operations for Plumbing, HVAC, and Electrical service departments Oversee and maintain technician schedules throughout the day Prioritize emergency, no-cool, plumbing, electrical, and other time-sensitive multifamily service requests Assign calls based on technician skill set, location, urgency, workload, and customer expectations Monitor the dispatch board throughout the day and proactively adjust schedules as conditions change Communicate with property managers, maintenance supervisors, regional managers, and other multifamily customers regarding scheduling and job status Ensure customers receive timely updates when technicians are delayed, additional work is required, or appointments need to be rescheduled Follow up with technicians on open, incomplete, paused, or aging jobs Make sure technicians properly document work performed, findings, recommendations, photos, and job status before calls are closed Review open jobs daily and identify anything requiring customer approval, additional scheduling, parts, equipment, estimates, or management attention Coordinate return trips and approved/sold work with technicians and department managers Help ensure approved work gets scheduled promptly instead of sitting in an open status Follow up on missing customer POs, access information, unit numbers, approvals, and other information needed to complete or bill a job Maintain accurate customer, property, unit, and job information within ServiceTitan Help identify jobs that are ready for billing and flag incomplete documentation before they reach the billing team Communicate across HVAC, Plumbing, Electrical, Install, Sales, and Office teams to keep work moving Manage technician availability, call-outs, schedule changes, and workload distribution Help coordinate on-call and after-hours service coverage Monitor technician capacity and communicate staffing or scheduling concerns to management Handle customer concerns at the dispatch level and resolve issues whenever possible before escalating them to senior management Hold dispatchers and technicians accountable for communication, scheduling, and job-completion expectations Develop and maintain organized dispatch procedures and help improve workflow as the company grows Provide management with visibility into open calls, backlog, scheduling issues, customer concerns, and operational bottlenecks Own the dispatch board and take responsibility for making sure nothing gets lost, forgotten, or left sitting without follow-up
What We're Looking For Required:
Strong background working with multifamily/apartment communities Previous dispatch, service coordination, property management maintenance, or service management experience Experience managing a high volume of service calls and multiple field technicians Strong understanding of the urgency and expectations associated with multifamily service Excellent organizational and follow-up skills Strong written and verbal communication Ability to confidently communicate with property managers, maintenance teams, technicians, and company leadership Ability to make decisions and solve problems without requiring constant management involvement Comfortable holding employees accountable and following up when expectations are not met Ability to remain organized while priorities change throughout the day Strong computer and data-entry skills
Highly Preferred:
ServiceTitan experience Plumbing, HVAC, and/or Electrical service industry experience Experience supervising dispatchers or service coordinators Familiarity with multifamily purchase orders, not-to-exceed amounts, estimates, approvals, unit access, vendor requirements, and emergency service procedures The Person Who Will Be Successful Here We need someone who naturally follows through. If a technician hasn't updated a job, you notice it. If a property is waiting on an answer, you follow up. If approved work hasn't been scheduled, you get it scheduled. If something is preventing a job from being completed or billed, you find out why. You should be comfortable managing a busy service board where priorities can change quickly and several departments may need your attention at the same time. Most importantly, we're looking for someone who understands that good dispatching isn't just filling boxes on a schedule — it's managing the entire flow of the service department and creating a great experience for both the customer and the field team.
