POSITION OVERVIEW
The Dispatcher collaborates with the Sales Department and customers to ensure Motorcoach Operators have accurate/complete workorders for trips. In addition, this position is responsible for the assignment and scheduling of the Motorcoach Operators including the distribution of all necessary paperwork for proper completion of assignments, and for the coordination of motorcoach cleaning and scheduled maintenance with the Maintenance Department.
ESSENTIAL JOB RESPONSIBILITIES
Represents the All Aboard America brand in a positive manner to all individuals; is an advocate for the Company. Reviews all upcoming trips (charter services and line-runs) in the scheduling system. Ensures all information is present and accurate. Collaborates with the Sales Department to obtain any missing charter trip information. Takes ownership of all trips at the Sales Handoff, assuming all communication with clients, obtaining all missing information for the trip and communicating driver and vehicle information to the client. Schedules Motorcoach Operators and equipment for all service types ensuring that all state, federal, local, and/or Company laws and safety regulations can be met. Communicates and confirms scheduled trips with Motorcoach Operators. Ensures that Motorcoach Operators have all information for their trip (itineraries, signs, hotel information, client special requests, etc.) before departing on their trip. Collaborates with the Maintenance Department to ensure: vehicle readiness for upcoming trips, and scheduling of vehicle repairs, preventative maintenance and emergency on-call requirements. Completes daily vehicle cleaning schedule in correspondence to dispatch requirements; communicates to the Custodial Department. Maintains Permit and Fuel Books in all company vehicles. Carries on-call after-hours cell phone when required, responding to all after-hours needs. Provides process/procedure improvement recommendations to Supervisor. Responds to email communications and phone calls in a timely manner. Maintains a safe working environment at all times; reports any unsafe working condition to Supervisor immediately. Follows all Company policies and procedures. Fulfills the role of a Motorcoach Operator as needed (qualified CDL holders only). Other duties as assigned.
SCHEDULE/TRAVEL
Dispatchers are expected to work their scheduled shift. Shifts may vary depending on location needs. Dispatchers must be available to work early mornings, days, and evenings. Little to no travel is expected.
QUALIFICATIONS REQUIRED
1+ year(s) fleet dispatch experience preferred. Demonstrated knowledge of Federal Motor Carrier Safety Administration (FMCSA) and state/local Department of Transportation rules/regulations preferred. Commercial Driver's License with passenger endorsement preferred. Excellent/professional written and oral communication skills required. Working knowledge of Microsoft Suite required. Successfully pass a background check and a pre-employment drug screen.
