This position provides guidance and support to a team of experienced dispatchers, helping them navigate daily scheduling needs, answer questions, and address situations that may require additional assistance. The Dispatch Supervisor works closely with dispatchers, drivers, management, patients, healthcare facilities, and clients to help ensure transportation needs are coordinated smoothly. This is a hands-on leadership role for someone who enjoys working with people, solving problems, staying organized, and helping a team succeed. The ideal candidate is approachable, dependable, calm under pressure, and comfortable making decisions while supporting both the dispatch team and the customers we serve. This is a non-exempt position under California law and is eligible for overtime in accordance with applicable federal and state wage and hour regulations.
Essential Duties and Responsibilities:
Dispatch Team Support Provide day-to-day guidance and support to the dispatch team. Be a resource for dispatchers when questions or unusual situations come up. Help dispatchers work through scheduling challenges and find practical solutions. Monitor daily dispatch activity to help ensure trips are being coordinated in a timely and organized manner. Assist with changes to schedules, cancellations, delays, and other day-to-day transportation needs. Help maintain clear communication between dispatchers, drivers, clients, and management. Encourage teamwork, professionalism, and a positive work environment. Step in to assist the dispatch team during busy periods or when additional support is needed. Customer & Client Support Assist with customer, patient, facility, and client concerns that may require supervisor assistance. Help resolve transportation questions or concerns in a friendly and professional manner. Support dispatchers in handling challenging conversations and finding appropriate solutions. Maintain a customer-focused approach while balancing the needs of patients, clients, drivers, and the company. Communicate with healthcare facilities and clients regarding scheduling changes or transportation needs as appropriate. Scheduling & Daily Operations Help oversee the daily transportation schedule and assist with making adjustments as needed. Monitor driver and vehicle availability and help coordinate resources throughout the day. Assist with finding solutions when schedules change or unexpected situations arise. Work with dispatchers and management to help maintain appropriate coverage and service levels. Help identify opportunities to make scheduling and dispatch processes easier and more efficient. Support the team in following established dispatch procedures and communication practices. Team Development & Communication Build positive working relationships with dispatch staff and encourage open communication. Provide coaching and feedback when appropriate. Help identify areas where additional training or support may be beneficial. Recognize opportunities to improve teamwork, communication, and day-to-day workflow. Work collaboratively with management on staffing, scheduling, training, and other team needs. Help create a supportive and professional environment where dispatchers feel comfortable asking questions and seeking assistance. Reporting & Performance Support Review dispatch and phone system reports to help understand call volume, workload, and team activity. Assist management with routine reports and operational information. Monitor general workflow and help identify areas where the team may need additional support. Use available information and reporting tools to help improve scheduling, communication, and customer service. Share observations and suggestions with management regarding opportunities for improvement. Administrative & Other Responsibilities Maintain accurate dispatch records and documentation. Assist with keeping procedures, schedules, and other operational information up to date. Participate in team meetings and provide input regarding dispatch operations. Assist with process improvements and special projects as assigned. Support other departments and management when needed. Perform other related duties as assigned.
