Position Summary We are currently seeking an organized, proactive, and customer-focused Service & Dispatch Coordinator to join our Batavia team. This position plays an important role in keeping daily operations running smoothly by coordinating technicians and service appointments while also supporting invoicing, accounts receivable, quoting, customer communication, and general office operations. The ideal candidate enjoys working in a fast-paced service environment, is comfortable communicating with customers and field technicians, and can confidently manage multiple priorities throughout the day. Key Responsibilities Dispatching & Scheduling Coordinate and dispatch service technicians based on customer needs, technician availability, location, and job requirements. Schedule and coordinate residential and commercial service appointments. Monitor daily schedules and make adjustments as service needs, emergencies, cancellations, or delays arise. Communicate schedule changes and job details to technicians throughout the day. Serve as a communication link between customers, technicians, property managers, and the office. Help ensure technicians have the information needed to successfully complete scheduled jobs. Follow up on open or incomplete jobs and assist with coordinating next steps. Billing, Invoicing & Accounts Receivable Prepare and process customer invoices accurately and timely. Post and record customer payments. Monitor accounts receivable and follow up on outstanding and past-due balances. Maintain accurate records of invoices, payments, and customer accounts. Assist with resolving basic billing questions and discrepancies. Quotes & Job Coordination Follow up with customers regarding outstanding quotes and quoted jobs. Assist with preparing quotes, gathering pricing information, and collecting necessary job details. Enter new jobs and customer information into company systems. Coordinate with property management companies regarding scheduling, job status, quotes, and completed work. Track jobs from initial scheduling through completion and help ensure appropriate follow-up occurs. Customer Service & Office Support Answer incoming calls and assist customers with scheduling, service, billing, and general questions. Make outbound calls to customers regarding appointments, quotes, outstanding balances, and job updates. Provide professional and responsive customer service. Maintain accurate customer and job records within company systems. Coordinate closely with office staff and field technicians to keep jobs moving efficiently. Provide general administrative and operational support as needed. Qualifications Background in dispatching, service coordination, office administration, billing, invoicing, or accounts receivable. Previous ServiceTitan experience is preferred. Experience dispatching or scheduling field technicians is strongly preferred. Experience in a garage door, home service, construction, HVAC, plumbing, electrical, property management, or similar service-based environment is a plus. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Comfortable making outbound customer calls and following up on quotes and outstanding balances. Ability to prioritize and adjust quickly when schedules or service needs change. Ability to manage multiple technicians, appointments, and customer needs simultaneously. Proficiency with Microsoft Office and the ability to learn new software and scheduling systems quickly. Dependable, proactive, and comfortable working as part of a fast-paced team. What We're Looking For We are looking for someone who can be the organizational hub between our customers, technicians, and office team. The right person will be comfortable switching between dispatching a technician, answering a customer question, following up on an invoice, entering a new job, and checking the status of a quote—all while keeping details organized and customers informed.
