Job Description
Job Summary We are seeking a dynamic and highly organized Dispatcher to join our transportation and logistics team. In this vital role, you will coordinate the movement of freight, manage vehicle dispatching, and ensure seamless communication between drivers, clients, and internal departments. Your proactive approach will help optimize routes, maintain compliance with DOT (Department of Transportation) regulations, and deliver exceptional customer service. Duties Coordinate and schedule vehicle dispatches using transportation management systems such as Oracle Transportation Management and Vehicle Dispatch Software to ensure timely deliveries. Monitor GPS and GIS (Geographic Information Systems) data to track vehicle locations, optimize routes, and improve overall fleet efficiency. Manage multi-line phone systems to handle incoming calls from drivers, clients, and internal teams with professionalism and clarity. Maintain accurate data entry in logistics platforms like SyteLine and AS400 for shipment tracking, freight documentation, and dispatch records. Communicate effectively with drivers via phone call management to provide instructions, updates, and support during transit operations. Ensure compliance with DOT regulations by adhering to safety standards, logging hours of service, and conducting internal communication on safety protocols. Collaborate with supply chain partners including 3PL providers for shipping & receiving coordination, freight management, and logistics planning. Assist with shipping & receiving documentation, vehicle maintenance scheduling, and fleet management activities to support smooth transportation planning. Analyze transportation data to identify opportunities for process improvements and cost savings while maintaining high customer service standards. Qualifications Proven experience with transportation planning, dispatching, or logistics operations within a road transportation environment. Familiarity with transportation management systems such as Oracle Transportation Management or similar vehicle dispatch software. Strong knowledge of DOT regulations related to freight transport, hours of service, and safety compliance. Proficiency in Microsoft Office applications including Excel for data analysis and reporting purposes. Experience using GPS devices, GIS tools, and vehicle tracking systems to monitor fleet movements effectively. Excellent communication skills—both verbal (phone etiquette) and written—to coordinate with drivers, clients, and internal teams seamlessly. Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting. Ability to perform data entry accurately while managing multiple priorities simultaneously using AS400 or SyteLine platforms. Knowledge of logistics concepts such as supply chain management, shipping & receiving procedures, fleet management practices, and 3PL coordination is highly desirable.
