Job Description
Coppola Services, Inc. is seeking a dependable, organized, and customer-focused Dispatcher to join our team. The Dispatcher will be responsible for coordinating daily operations, scheduling drivers and deliveries, communicating with customers and field personnel, and ensuring that deliveries and drivers are efficiently managed throughout the day. The ideal candidate is able to remain calm and professional in a fast-paced environment, make quick and informed decisions, resolve scheduling and delivery issues, and communicate effectively with drivers, customers, and internal teams. Essential Responsibilities Dispatch and coordinate drivers throughout the day to meet daily delivery and operational requirements. Monitor driver schedules and make necessary adjustments to maintain efficient operations. Schedule deliveries and coordinate orders according to customer specifications. Accurately enter and update customer orders, delivery information, and scheduling details. Review orders prior to delivery to verify that all customer, product, delivery, and location information is accurate. Communicate professionally and respectfully with customers, drivers, supervisors, and other employees by telephone, radio, email, and other communication systems. Handle high call volumes while simultaneously coordinating with drivers, customers, job sites, and office personnel. Respond to unexpected delays, changes, or operational issues and find timely solutions. Assist drivers with directions and locating job sites when necessary. Develop and maintain familiarity with the company's service areas, job sites, and commonly used routes. Determine appropriate travel times and assist with selecting the most efficient locations and routes for servicing jobs. Monitor the progress of deliveries and communicate changes or delays to the appropriate parties. Maintain accurate driver schedules, including time-off requests, sick days, and other approved absences. Coordinate and document driver timekeeping information. Review driver timecards and delivery/time reports for accuracy. Track and report driver hours and other relevant operational information. Work closely with management and other departments to address scheduling and operational concerns. Maintain a professional and respectful attitude when dealing with difficult or stressful situations. Perform other duties as assigned by management. Qualifications Required High School Diploma or GED. Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to remain calm, professional, and decisive in a fast-paced environment. Strong problem-solving and decision-making abilities. Ability to multitask and prioritize competing demands. Basic computer skills, including typing, internet navigation, email, and data entry. Ability to communicate effectively with drivers, customers, and internal personnel. Preferred At least 3 years of customer service experience preferred. Previous dispatch, transportation, logistics, scheduling, or related experience preferred. Experience working with delivery scheduling or driver coordination preferred. Knowledge of local roads, service areas, and job-site locations is a plus. Spanish speaking is a plus, but not required. Work Environment This position operates in a fast-paced environment where priorities may change throughout the day. The successful candidate must be comfortable handling multiple phone calls and requests while coordinating drivers, customers, deliveries, and internal operations. The position requires strong attention to detail, reliability, and the ability to make timely decisions when unexpected situations arise.
