You'll be responsible for coordinating residential installation projects from estimate to completion, ensuring every detail is handled so our customers receive an exceptional experience and our technicians have everything they need to succeed. We're looking for someone who takes ownership, communicates effectively, follows through, and doesn't let details fall through the cracks.   • Coordinate residential HVAC and plumbing installation projects from estimate through final completion.
  • Dispatch installation technicians and coordinate daily schedules.
  • Pull permits and schedule inspections with local jurisdictions.
  • Verify that materials, equipment, and special-order items are available before installations begin.
  • Coordinate installation schedules with customers, technicians, and the Service Dispatcher.
  • Monitor installation progress and proactively resolve scheduling or project issues.
  • Escalate concerns to management when necessary to keep projects on track.
  • Ensure installation paperwork, invoices, and job documentation are complete and accurate.
  • Process manufacturer rebates and applicable customer incentive paperwork.
  • Work closely with technicians to ensure jobs are completed successfully and customer payments are collected.
  • Handle backup incoming customer calls as needed.
  • Return after-hours messages and customer callbacks each morning.
  • Maintain accurate records using Microsoft Excel, Smartsheet, and company software.
  • Perform other administrative and operational duties as assigned. What We're Looking For We're looking for someone who:

  • Minimum of 2 years' experience as a dispatcher in scheduling, project coordination, service coordination, or administrative experience preferred.
  • Experience in the plumbing, HVAC and electrical trades is a plus but not required.
  • Strong proficiency in Microsoft Excel is required.
  • Experience with Smartsheet or similar project management software is preferred.
  • Excellent organizational, time management, and problem-solving skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities while maintaining accuracy.
