Responsibilities Coordinate and dispatch HVAC and plumbing service technicians using vehicle dispatch software and transportation management systems such as Oracle Transportation Management. Manage multi-line phone systems to handle incoming calls from customers, vendors, and internal teams with professionalism and clarity. Utilize GPS and GIS tools to track vehicle locations, optimize routes, and improve transportation planning efficiency. Oversee freight movement, shipping & receiving processes, ensuring compliance with DOT regulations and safety standards. Maintain accurate data entry related to dispatch activities, customer interactions, and logistics records for analysis and reporting purposes. Communicate effectively with internal teams through internal communication platforms to relay updates on job status, delays, or emergencies. Support supply chain coordination by managing inventory levels, procurement schedules, and logistics documentation to ensure smooth operations across the organization. Assist in analyzing transportation data to identify opportunities for process improvements in road transportation operations and fleet management. Handle customer inquiries with excellent phone etiquette while providing timely updates on service schedules or delays. Collaborate with third-party logistics (3PL) providers to coordinate freight shipments and optimize shipping & receiving workflows. Qualifications Proven experience in dispatching within HVAC, plumbing, or related service industries is preferred. Strong knowledge of transportation planning tools such as GPS devices, GIS software, vehicle dispatch software, and transportation management systems like Oracle Transportation Management. Familiarity with fleet management practices, road transportation operations, shipping & receiving procedures, and freight logistics. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Exceptional communication skills—both verbal and written—and the ability to manage multi-line phone systems professionally. Proficiency in Microsoft Office applications including Word, Excel, and Outlook for data entry and reporting tasks. Understanding of DOT regulations concerning vehicle operation and safety standards. Ability to analyze logistical data for process improvement opportunities using analysis skills. Experience working within a 3PL environment or in transportation management is a plus. Strong typing skills for quick data entry; familiarity with vehicle tracking systems like GPS is advantageous.
