Position Overview She Rock Logistics is seeking an experienced, dependable, and highly organized Freight Dispatcher to manage daily trucking and delivery operations. The Freight Dispatcher will serve as the primary point of communication between our drivers, management, warehouses, brokers, and customers. This position is responsible for assigning loads, coordinating pickups and deliveries, monitoring drivers throughout their routes, providing accurate shipment updates, and quickly resolving issues that may affect successful delivery. We are looking for someone who understands that trucking operations can change quickly. The ideal candidate is proactive, communicates well under pressure, pays close attention to details, and can manage multiple drivers and shipments at the same time. Key Responsibilities Coordinate and dispatch drivers for daily pickups, deliveries, and multi-stop routes. Assign loads to drivers based on location, truck availability, capacity, delivery requirements, and route efficiency. Review shipment information before dispatch, including pickup and delivery addresses, BOL numbers, reference numbers, piece/pallet counts, weight, appointments, and special instructions. Plan efficient delivery routes and stop sequences. Communicate daily load assignments and instructions clearly to drivers. Confirm drivers have the correct freight and required documentation before leaving the warehouse. Monitor drivers and shipments throughout the day using phone communication and available GPS/fleet-tracking systems. Maintain accurate status updates for active loads. Provide customers, brokers, warehouses, and management with timely pickup and delivery updates. Coordinate delivery appointments and communicate estimated arrival times when required. Immediately address delays, missed appointments, refused deliveries, incorrect addresses, unavailable customers, damaged freight, truck problems, and other delivery exceptions. Coordinate redeliveries and returned freight when a delivery cannot be completed. Ensure undelivered freight is properly accounted for and returned to the appropriate warehouse when required. Coordinate driver fuel needs and communicate truck or rental-equipment issues to management. Confirm drivers have completed their assigned routes before releasing them or assigning additional freight. Ensure drivers obtain signed BOLs/PODs, delivery photos, timestamps, and any other required proof of delivery. Work with the Administrative Assistant to ensure completed delivery documents are received and properly recorded. Maintain professional communication with drivers, customers, brokers, warehouse personnel, and management. Escalate significant operational issues to management promptly. Assist with additional transportation and logistics duties as needed. Daily Dispatch Expectations The Freight Dispatcher is expected to know the status of active loads throughout the workday, including whether each shipment is: At Warehouse → Assigned → Loaded → In Transit → Arrived → Delivered → POD Received → Completed The dispatcher must also clearly identify shipments that are: On Hold Delayed Refused Undelivered Returning to Warehouse Pending Redelivery Problems should be communicated as they happen—not discovered at the end of the day. Driver Management & Communication The Freight Dispatcher will maintain consistent communication with drivers throughout their assignments.
Responsibilities include:
Conducting driver check-ins. Confirming pickup and loading status. Providing delivery addresses and special instructions. Monitoring progress between stops. Communicating route or delivery changes. Confirming successful deliveries. Following up immediately when a driver falls behind schedule or encounters an issue. Ensuring drivers communicate delays before they affect customers. Confirming required POD documentation is completed before closing a delivery. The dispatcher is expected to communicate professionally while maintaining accountability and clear expectations with drivers. Customer & Broker Communication The dispatcher represents She Rock Logistics during daily transportation operations and must provide professional and accurate communication.
This includes:
Providing shipment and delivery updates. Communicating ETAs when available. Advising customers or brokers of delays. Coordinating delivery appointments. Communicating delivery exceptions. Following up on address or contact-information issues. Coordinating redeliveries when necessary. Avoiding promises or delivery commitments that have not been confirmed with the driver or management. Qualifications Previous freight dispatching, trucking, transportation, or logistics experience strongly preferred. Experience dispatching box trucks, straight trucks, final-mile freight, LTL, or multi-stop deliveries is a plus. Strong knowledge of dispatch and transportation operations. Ability to manage multiple drivers, shipments, and priorities simultaneously. Strong route-planning and problem-solving skills. Excellent verbal and written communication. Strong attention to detail. Ability to remain organized and professional in a fast-paced environment. Comfortable communicating frequently with drivers and customers. Proficient with email, spreadsheets, GPS/fleet-tracking systems, and basic transportation technology. Ability to read and understand BOLs, PODs, load sheets, delivery instructions, and shipment documentation. Dependable attendance and punctuality. Ability to work independently and make sound operational decisions within company guidelines. If a driver is delayed, a customer cannot be reached, paperwork is missing, freight cannot be delivered, or a truck develops an issue, the dispatcher should identify the problem quickly, communicate it, and work toward a solution.
