Heavy Haul Dispatcher Hazel's Expedited Freight — Addison, TX Full-time | W2 | Monday-Friday | On-site The Role You're the heavy haul expert other dispatchers call when a load is too tall, too wide or too heavy to figure out on their own. We want that person to own our Heavy Haul desk. You will be Hazel's only Heavy Haul Dispatcher. Every heavy haul load is yours, from the customer's first call to the final proof of delivery. You pick the truck, trailer and driver, get the permits and escorts lined up, route the load legally and stay with it until it's delivered. You're also the go-to person for our heavy haul customers. They call you, you take the order, you tell them exactly what it will take to move it, and you keep them up to date along the way. Heavy haul punishes guesswork. A load that's an inch too tall, a few hundred pounds over on an axle or missing a permit in one state gets shut down at the scale. You already know this work cold. Here, you'll be trusted to use what you know without someone signing off on every call. This is not a supervisor role. You won't have direct reports. You'll work closely with our Heavy Haul General Manager and alongside our main dispatch desk, but the heavy haul board is yours: your decisions, your customers, your results. When there are no heavy haul loads in process, you'll help the main desk with standard dispatch. What You Will Own The heavy haul board Dispatch every heavy haul load — company trucks and leased owner-operators — and choose the right equipment for each: flatbed, step deck, double drop, RGN/lowboy (fixed and detachable gooseneck), stretch/extendable and multi-axle configurations. Plan each load against its dimensions and weights: overall height, width, length and overhang, gross and per-axle weights, and axle spacing under the federal bridge formula. Enter and manage every load in Xcelerator, our dispatch system, from order through proof of delivery. Stay in close contact with drivers from pickup to delivery; solve breakdowns, route changes, permit problems and site-access issues in real time. Confirm loads are secured to FMCSA cargo securement standards, including the heavy equipment and machinery requirements, and that drivers carry the correct chains, binders, straps and flags. When our own trucks are committed, work with our carrier operations team to cover the load with qualified outside capacity. When no heavy haul loads are in process, help our main dispatch desk run hot shot, same-day and over-the-road loads. Permits, routing and compliance Order oversize/overweight permits in Texas (TxDMV TxPROS) and every other state on the route, including superload applications and route surveys when required. Build legal routes around bridge, height, weight and construction restrictions, and confirm travel-time limits: daylight-only moves, curfews, and weekend and holiday restrictions. Arrange pilot/escort vehicles, height poles and law-enforcement escorts when a permit requires them, and make sure every requirement on the permit is met before the truck moves. Keep permit, escort and route records complete and accurate for every load; track DOT and hours-of-service compliance for your drivers. Heavy haul customers Be the primary contact for our heavy haul accounts — equipment dealers, contractors, manufacturers and industrial shippers. Take their orders directly by phone and email. Gather complete load information up front: make and model, dimensions, weights, loading method (drive-on, crane, forklift), site conditions and required dates. Price loads with the Heavy Haul General Manager, building permit, escort, routing and accessorial costs into every quote so each load is profitable.
Communicate proactively:
permit timelines, escort requirements, route or schedule changes, and delays — before the customer has to ask.
Grow the accounts you manage:
learn each customer's equipment, projects and seasons, and look for the next load before they call. What This Role Is Not Not a slow or predictable desk. Permits, escorts, drivers and customer calls all run at once, and the day changes by the hour. Not a seat where decisions get passed up the chain. Nobody else runs heavy haul here. You're expected to make the call on equipment, routing and pricing yourself, and stand behind it. Not a place to guess. "Close enough" is not a dimension. If exact numbers and following the permit to the letter feel like a hassle, this isn't the right fit. Not a hard-sell role. We want someone customers trust because they're right, not because they tell customers what they want to hear. What You Bring Required 3+ years of heavy haul experience dispatching, planning or booking oversize/overweight loads. Hands-on knowledge of heavy haul equipment types and when to use each, and of legal load limits for height, width, length, gross and axle weights, including the bridge formula. Proven experience ordering multi-state OS/OW permits, including superloads, and arranging pilot/escort cars and route surveys. Working knowledge of FMCSA cargo securement rules for heavy equipment, DOT requirements and hours-of-service rules. Experience working directly with customers — taking orders, quoting and managing expectations. Fast, accurate data entry; comfortable with maps, routing tools and permit portals. High school diploma or GED; fluent spoken and written English. Able to work in our Addison office five days a week. Preferred Xcelerator experience — a strong plus. Background with equipment dealers, construction, oilfield or energy freight. Existing relationships with escort providers, permit services and heavy haul owner-operators. What Success Looks Like Every heavy haul load is permitted, routed and secured correctly — zero permit violations or out-of-service citations. On-time pickup and delivery on heavy haul loads, with customers informed early when anything changes. Growing heavy haul volume and gross margin from the accounts you manage. Complete and accurate load, permit and escort records in Xcelerator. Compensation and Benefits Full-time W2, hourly, non-exempt position. Pay is $25 to $30 per hour, depending on experience, and overtime eligible.
