The HVAC Dispatcher plays a key role in ensuring smooth daily operations by coordinating service calls, scheduling technicians, and providing exceptional customer service. This position serves as the communication hub between customers, field technicians, and management, ensuring jobs are assigned efficiently and completed on time. The Dispatcher must be able to manage a fast-paced environment, prioritize changing needs throughout the day, and make sound decisions regarding technician availability, job urgency, location, and skill set. Essential Duties & ResponsibilitiesScheduling & Dispatching Schedule and dispatch HVAC service calls, maintenance appointments, estimates, and follow-up visits. Assign calls to the appropriate technician based on location, availability, skill level, workload, and type of service required. Monitor technician schedules throughout the day and make adjustments as needed. Minimize technician drive time and maximize daily productivity. Communicate schedule changes, cancellations, delays, and priority calls to technicians. Monitor the status of all active calls and ensure jobs are progressing appropriately. Coordinate emergency and priority service calls when necessary. Schedule return visits when repairs require parts or additional work. Customer Communication Answer incoming service calls and assist customers with scheduling and service-related questions. Communicate professionally and courteously with customers at all times. Set appropriate customer expectations regarding appointment windows, technician arrival times, and return visits. Contact customers regarding schedule changes, delays, approvals, and appointment confirmations. Handle customer concerns professionally and escalate issues to management when necessary. Technician Support Serve as the primary communication point between field technicians and the office. Assist technicians with obtaining information needed to complete service calls. Coordinate parts ordering and availability for repair jobs. Ensure technicians properly document parts needed, job information, and follow-up requirements. Communicate with technicians regarding job status, estimates, approvals, and customer requests. Help identify opportunities to improve technician efficiency and daily scheduling. Job & Administrative Responsibilities Review daily schedules to ensure appointments are properly assigned and information is complete. Verify job notes and customer information are accurately documented. Monitor jobs requiring follow-up, parts, estimates, or management attention. Assist with maintaining accurate customer and job records. Coordinate warranty-related service calls and follow-up when applicable. Communicate with the warehouse regarding parts needed for scheduled repairs. Ensure completed jobs are properly updated and ready for billing or further processing. Daily Priorities The Dispatcher should prioritize: Customer needs and emergencies Technician safety and availability Efficient scheduling and routing Keeping technicians productive Clear communication Accurate job documentation Timely follow-up on outstanding jobs Qualifications Previous HVAC dispatching, scheduling, customer service, or office experience preferred. HVAC industry experience preferred but not always required. Strong organizational and multitasking skills. Excellent verbal and written communication skills. Ability to remain calm and professional in a fast-paced environment. Strong problem-solving and decision-making abilities. Ability to prioritize multiple tasks and changing situations. Comfortable working with scheduling, dispatching, CRM, and computer software. Strong attention to detail. Ability to communicate effectively with both customers and field technicians. Key Performance Expectations The Dispatcher is expected to: Keep the daily schedule organized and running efficiently. Maintain strong communication with technicians and customers. Reduce unnecessary technician downtime and drive time. Ensure customers receive timely updates regarding their appointments. Properly document scheduling and job-related information. Follow company procedures and policies. Maintain a professional and positive attitude. Protect the customer experience while supporting the needs of the service department. Work as a team with management, technicians, warehouse staff, and office personnel. Physical & Work Environment This position is primarily an office-based role and requires extended periods of computer and telephone use. The Dispatcher must be able to work in a fast-paced environment where schedules and priorities may change throughout the day.
